Lakes and Pines Community Action Council, Inc. is seeking a Department Administrative Assistant to help ensure the smooth operation of our Energy Assistance Department while supporting programs that improve the lives of individuals and families throughout East Central Minnesota. As the Department Administrative Assistant, you will play a key role in the day-to-day operations of the department by providing high-level administrative support to the Department Director and staff. This position requires excellent communication, strong organizational skills, sound judgment, and the ability to manage multiple priorities while maintaining confidentiality.

- Department Administrative Assistant is full-time Monday through Friday from 7:00a.m. – 3:30p.m.; Salary range is $24.35 - $32.46 (starting salary is dependent upon qualifications).
- Provide administrative support to the Department Director and department staff.
- Responsible for the supervision of staff (assigning, instructing, and checking the work of 4 to 7 other employees).
- Prepare correspondence, reports, presentations, agendas, and meeting minutes.
- Coordinate schedules, meetings, travel, and appointments.
- Maintain department records and electronic filing systems.
- Track reports, performance data, and department deadlines.
- Process purchase orders, vouchers, and other administrative documents.
- Assist with department hiring processes, onboarding, and employment postings.
- Respond professionally to customer inquiries by phone, email, and in person.
- Help ensure compliance with agency policies, funding requirements, and record retention standards.
- Represent the department at meetings and community events as needed.
Qualifications:
- High School Diploma or equivalent.
- 3+ years of related administrative or office support experience.
- Valid Driver’s License and ability to pass a BCA background study.
- Consistently dependable, with a strong work ethic.
- Strong organizational and communication skills, with the ability to work independently and as part of a team.
- Proficiency in managing sensitive information with discretion.
- Ability to work effectively across socio-economic and cultural differences.
