Responsibilities
- Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in procedures
- Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks
- Verify insurance coverage, perform insurance verification, and handle medical billing processes including collection of copayments and outstanding balances
- Manage electronic health records (EHR), ensuring accurate documentation review, proper filing, and secure handling of medical records in compliance with HIPAA regulations
- Answer multi-line phone systems with professional phone etiquette, direct calls appropriately, and take detailed messages when necessary
- Assist with clinical administrative tasks such as intake forms, medical documentation review, CPT coding, ICD-9/ICD-10 coding, and preparing care plans
- Maintain a clean and organized front desk area while managing office supplies and filing systems efficiently
Skills
- Proven experience in medical office management or healthcare administrative support with clinic or hospital experience
- Proficiency in EMR systems including Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft for electronic health records management
- Strong knowledge of health insurance processes including verification, Medicare procedures, HIPAA compliance, and medical billing practices
- Familiarity with medical terminology across various specialties such as dental terminology or general clinical language
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and typing skills including 10-key typing for data entry
- Ability to navigate multi-line phone systems efficiently while maintaining professionalism and courteous communication
- Bilingual abilities are highly valued to serve diverse patient populations effectively
- Strong organizational skills with attention to detail in documentation review and office management tasks
- Knowledge of ICD coding (ICD-9/ICD-10), CPT coding for procedures, and documentation review to support accurate billing and recordkeeping
- Experience working within clinical confidentiality policies to protect patient information at all times
