We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, maintaining a welcoming front desk presence, and supporting the overall efficiency of our team. Responsibilities
- Oversee daily office operations, including managing supplies, equipment, and facilities to ensure optimal functionality.
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with professional phone etiquette.
- Manage multi-line phone systems, handle incoming calls, and provide exemplary customer support and support to staff members.
- Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clear communication.
- Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline administrative processes.
- Support bookkeeping activities and basic office accounting tasks as needed.
- Assist with clerical duties including typing correspondence, managing emails, organizing files, and maintaining office records.
- Provide exceptional customer service by addressing inquiries promptly and professionally in person or over the phone.
- Maintain a clean and organized office environment that promotes productivity and positivity among staff.
Requirements
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with QuickBooks or similar accounting software.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Strong computer literacy including data entry, filing systems, proofreading, and document management.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are highly preferred to effectively communicate with diverse clients and team members.
- Previous experience as a dental or medical receptionist or personal assistant is advantageous.
- Ability to manage time effectively while prioritizing urgent tasks to meet deadlines.
- Knowledge of bookkeeping practices is a plus but not mandatory.
