Responsibilities
- Manage front desk duties, including greeting visitors, answering inbound inquiries, and directing calls with professional phone etiquette.
- Coordinate calendar management and schedule appointments for team members and executives
- Communicate with our partner university and other customers via regular emails to report on our operations.
- Coordinate with students and government agencies to ensure compliance with Veteran's Affairs and Academic requirements are met.
- Handle data entry and tracking tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools with accuracy and efficiency.
- Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents and records.
- Support customer service efforts by providing timely responses to client inquiries and assisting with general administrative support.
- Assist with office management duties including supply inventory and ensuring a clean, organized workspace.
Experience
- Previous clerical or administrative experience in an office setting is preferred; familiarity with office management practices is highly preferred.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and productivity software is essential.
- Experience with data entry, filing systems, and document proofreading will ensure accuracy in daily operations.
- Strong organizational skills combined with excellent time management abilities are necessary to handle multiple priorities effectively.
- Knowledge of the aviation instrument is not a requirement.
- Familiarity with multi-line phone systems, customer service protocols, and front desk operations will enhance your success in this role.
- Technical proficiency in computer literacy is vital for seamless workflow.
