EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Two years related experience and/or training; or equivalent combination of education and experience
High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Serves as receptionist for the Transportation Department and the office of the Executive Director. Provides clerical support for Transportation Administration.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Answers all incoming calls and assists or routes to the appropriate staff.
2. Receives and greets all visitors and refers them to the appropriate employee, office, or District department.
3. Assists employees with information located in the Human Resources, Payroll and Employee Benefits system programs.
4. Maintains current employee database for the department. Ensures transportation employees, coaches, and district commercial drivers are current regarding physicals and other pertinent certifications.
5. Maintains adequate working knowledge of bus routing system and field trip procedures to assist customers with inquiries.
6. Prepares monthly physical renewal authorization forms for transportation employees, coaches, and district commercial drivers, distributes to personnel, and notifies transportation supervisors.
7. Continually updates database with status of training, testing, and certification requirements required by District, State, and/or Federal guidelines.
8. Organizes monthly DOT drug and alcohol files for the Executive Director to ensure paperwork is received and results are inputted in a timely manner for all employees who are randomly tested.
9. Receives incoming reports of school bus accidents and relays vital information to the Executive Director for further dissemination as appropriate.
10. Files and scans correspondence pertinent to departmental functions and stages/discards certain documents based on District guidelines.
11. Delivers mail and distributes other materials to department personnel.
12. Maintains confidentiality of information.
13. Reports to work on time every day.
14. Performs additional duties and accepts responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS:
• Proficient in the use of computers and common Microsoft Office or other software programs such as Word, Excel, etc.
- Moderate skills in the use of Human Resources software and Payroll Systems
- Ability to learn and maintain basic working knowledge of bus routing software
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
- Valid Texas Driver’s License with driving record that meets the requirements of the District
