Position Summary
The Banquet & Events Manager is responsible for the successful sales, booking, planning, coordination, and execution of private events, banquets, weddings, golf outings, club functions, and other special events at Wiltwyck Golf Club.
This position combines event sales and booking responsibilities with banquet operations, requiring a highly organized, personable, and sales-oriented manager who can develop relationships with members and outside clients while ensuring that every event is executed to the highest standard.
The Banquet & Events Manager will be responsible for generating event business, maintaining the event calendar, coordinating with clients and club departments, managing banquet staff, and ensuring events meet or exceed the Club's standards for service, quality, and profitability.
Key Responsibilities
Event Sales & Booking
- Respond promptly to event inquiries and prospective clients.
- Conduct facility tours and meet with prospective clients to understand their event needs.
- Sell and book weddings, corporate events, golf outings, celebrations, showers, meetings, member events, and other private functions.
- Develop proposals, event packages, contracts, and pricing in accordance with Club guidelines.
- Maintain an accurate and up-to-date event calendar.
- Follow up consistently with leads and prospective clients to convert inquiries into booked events.
- Build relationships with members, prospective members, businesses, wedding professionals, community organizations, and other sources of event business.
- Develop new opportunities to increase event bookings and banquet revenue.
- Maintain records of leads, bookings, deposits, contracts, and event details.
Event Planning & Coordination
- Serve as the primary point of contact for clients from initial inquiry through completion of the event.
- Meet with clients to plan menus, room setups, timelines, entertainment, décor, audiovisual needs, and other event details.
- Prepare detailed banquet event orders and communicate event requirements to all appropriate departments.
- Coordinate closely with the Executive Chef, Food & Beverage team, Golf Operations, Maintenance, Accounting, and other Club departments.
- Conduct pre-event meetings and ensure all departments understand event requirements.
- Be present for major events as needed to ensure smooth execution and client satisfaction.
Banquet Operations
- Manage the setup, service, and breakdown of events.
- Recruit, train, schedule, and supervise banquet staff.
- Establish and maintain high standards for food and beverage service, appearance, cleanliness, professionalism, and guest service.
- Monitor event staffing levels and labor costs.
- Address client or guest concerns promptly and professionally.
- Ensure compliance with Club policies, health and safety standards, and applicable regulations.
- Conduct post-event reviews to identify opportunities for improvement.
Financial & Performance Responsibilities
- Work with management to establish event pricing and packages that maximize revenue and profitability.
- Monitor event revenue, food and beverage sales, labor costs, and other controllable expenses.
- Ensure contracts, deposits, payments, and final billing are properly documented.
- Track monthly event sales and future bookings.
- Provide management with regular reports on event inquiries, bookings, revenue, and upcoming business.
- Identify opportunities to increase average event revenue through upgrades, additional services, food and beverage packages, and other enhancements.
Qualifications
- 3+ years of experience in banquet, hospitality, or event management.
- Proven experience in event sales and/or event coordination.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to sell services and develop lasting client relationships.
- Strong attention to detail.
- Experience managing and motivating hourly banquet staff.
- Ability to work evenings, weekends, and holidays as required by the event schedule.
- Ability to remain calm and professional in a fast-paced environment.
- Strong computer skills and familiarity with event management, POS, scheduling, and/or CRM systems preferred.
