POSITION SUMMARY
The Office Assistant supports the day-to-day operations of the Blacksburg property management team. This on-site, part-time role (15–20 hours per week) is responsible for assisting with rent collection, posting resident notices, processing deposits, and providing general administrative support. The ideal candidate is organized, detail-oriented, and comfortable working directly with residents and team members in a fast-paced property management environment.
KEY RESPONSIBILITIES
Rent Collection
- Receive and process resident rent payments, including checks, money orders, and electronic payments
- Record all payments accurately in Rent Manager and issue receipts as needed
- Assist in generating and distributing delinquency notices and late fee statements
- Maintain a daily log of collections and report outstanding balances to the property manager
- Follow up with residents regarding past-due accounts under direction of management
Notices & Resident Communications
- Prepare, print, and post required legal and informational notices (lease violations, entry notices, renewals, etc.)
- Distribute notices in accordance with applicable Virginia landlord-tenant law timelines
- Maintain a log of all posted notices including dates and delivery method
- Assist with drafting routine correspondence and communications to residents
Deposits & Financial Processing
- Process security deposits, pet deposits, and other move-in funds in accordance with company policy
- Prepare and make bank deposits on a regular basis; reconcile deposit records
- Assist with move-out deposit accounting and documentation under manager oversight
- Maintain organized records of all deposit transactions
General Administrative Support
- Answer resident inquiries by phone and in person, providing excellent customer service
- Maintain organized physical and digital filing systems for leases, notices, and correspondence
- Assist with move-in and move-out paperwork and inspections as needed
- Support the property manager with scheduling, data entry, and reporting tasks
- Help maintain the cleanliness and organization of the on-site office
QUALIFICATIONS
Education
- High school diploma or GED required
- Associate’s degree or coursework in business, real estate, or a related field a plus
Experience
- Prior experience in property management, administrative support, or customer service preferred
- Familiarity with rent collection or basic bookkeeping is a plus
- Experience using property management software (Rent Manager or similar) beneficial but not required
Skills & Competencies
- Organized and detail-oriented with strong follow-through
- Comfortable handling cash and processing financial transactions accurately
- Clear written and verbal communication skills for resident interactions
- Proficient in basic computer applications (Microsoft Office, email, data entry)
- Ability to maintain confidentiality and handle sensitive resident information with discretion
- Dependable, punctual, and able to work independently on-site
- Friendly, professional demeanor in all resident-facing interactions
COMPENSATION & DETAILS
- Part-time: 15–20 hours per week, on-site in Blacksburg
- Hourly compensation commensurate with experience
- Schedule to be determined with manager based on operational needs
- Must have transportation to and from multiple locations within the area.
