Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools
- Perform data entry, filing, and maintain accurate records with attention to detail and proofreading skills
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document organization
- Provide customer support by addressing inquiries via phone or email with professionalism and clarity
- Assist with clerical duties including typing, proofreading, and supporting administrative projects as needed
Requirements
- Proven experience in office management or administrative roles, preferably in a medical or dental setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Previous experience with front desk operations, multi-line phone systems, data entry, filing, and customer service is preferred
- Knowledge of clerical procedures such as proofreading, calendar management, and record keeping
- Exceptional phone etiquette and communication skills to handle inquiries professionally
- Experience with bookkeeping software like QuickBooks or similar tools is a plus
- Personal assistant or medical receptionist experience will be considered an asset
