Job Summary
The Dental Office Manager oversees day-to-day administrative operations, financial workflows, and staff management to ensure a productive practice environment and excellent patient care. This role bridges clinical teams and administrative operations, driving revenue cycle management, schedule optimization, and compliance.
Key Responsibilities
Practice Operations & Scheduling
Manage daily office flow to minimize wait times and maximize provider efficiency.
Optimize hygiene and doctor schedules to meet daily and monthly production targets.
Oversee patient recall systems, unscheduled treatment follow-ups, and new patient onboarding.
Ensure practice compliance with OSHA, HIPAA, and state dental board regulations.
Financial Management & Revenue Cycle
Direct insurance verification, claims submission, pre-authorizations, and denial management.
Oversee patient billing, payment plans, and collections to maintain target Accounts Receivable (A/R) metrics.
Conduct treatment plan presentations and present financial arrangements to patients.
Manage accounts payable, petty cash, and daily batch/bank reconciliations.
Staff Leadership & Team Management
Recruit, hire, train, and conduct performance reviews for administrative and front-desk staff.
Manage staff scheduling, time tracking, payroll processing, and vacation requests.
Lead regular morning huddles and monthly staff meetings to align operational goals.
Mediate internal team conflicts and foster a positive, accountable workplace culture.
Qualifications & Requirements
Experience: 3+ years of administrative leadership experience in a dental or medical practice setting.
Software: Proficiency with major practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
Knowledge: In-depth understanding of dental terminology, CDT coding, and insurance claim workflows.
Skills: Strong leadership, financial reporting, patient communication, and conflict resolution abilities.
Job Type: Full-time
Pay: $55,000.00 - $80,000.00 per year
