Elevare Behavioral Health is seeking a full-time Admissions Manager to oversee daily admissions operations for our Illinois behavioral health programs. This is an on-site, working manager role responsible for leading Admissions Coordinators while also supporting call coverage, active lead management, patient pre-screening, and barriers to admission.
The Admissions Manager plays a key role in ensuring a compassionate, timely, and professional patient access experience across Detox, Residential, PHP, IOP, and OP levels of care.
Key Responsibilities
The Admissions Manager will:
- Supervise, train, coach, and support Admissions Coordinators.
- Manage daily admissions workflow, including calls, web inquiries, chat, text, assigned leads, and referral communication.
- Support call coverage and active lead follow-up when volume or staffing needs require.
- Monitor call center performance, including speed to answer, abandoned calls, lead aging, follow-up completion, and call quality.
- Oversee patient pre-screening and level-of-care coordination for Detox, Residential, PHP, IOP, and OP services.
- Partner with Clinical, Operations, Business Development, Billing, Utilization Review, and leadership to support admissions goals.
- Ensure insurance verification, benefits review, authorization status, and financial clearance steps are completed accurately and timely.
- Help remove barriers related to coverage, transportation, scheduling, payment arrangements, documentation, and admission readiness.
- Track and report admissions metrics, including call conversion, admissions volume, speed to lead, follow-up compliance, and documentation accuracy.
- Ensure documentation in CRM, EHR, and call systems is complete, accurate, timely, and compliant.
- Maintain compliance with HIPAA, 42 CFR Part 2, patient rights, accreditation standards, and facility policies.
Qualifications
Required:
- Bachelor’s degree in healthcare administration, behavioral health, business, social services, or related field.
- 3–5 years of experience in behavioral health admissions, healthcare intake, patient access, or related healthcare operations.
- Experience in a call center, admissions call center, or high-volume phone-based lead management environment.
- Supervisory, team lead, or staff coaching experience.
- Behavioral health experience, including knowledge of substance use and mental health treatment services.
- Knowledge of levels of care, including Detox, Residential, PHP, IOP, and OP.
- Strong communication, customer service, coaching, organization, problem-solving, and de-escalation skills.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Valid driver’s license with a clean driving record.
- Current CPR certification or ability to obtain within 30 days of hire.
Preferred:
- Familiarity with ASAM criteria.
- Experience with insurance verification, behavioral health benefits, authorizations, and financial clearance.
- Experience with CRM, EHR, and call tracking systems such as Kipu, Dazos, Call Tracking Metrics, or similar platforms.
- Crisis prevention or de-escalation training, CPI or equivalent.
Schedule Expectations
This is a full-time, on-site position in Illinois. The role may include on-call responsibilities, as well as weekend or holiday coverage based on admissions volume, staffing needs, and operational priorities.
Compensation
The salary range for this position is $65,000–$75,000 per year, based on experience and qualifications.
