The Event Marketing Coordinator supports the planning, coordination, and execution of EWF’s events, programs, and member engagement experiences. This role manages the operational coordination of approximately 50–75 virtual and in-person regional events, networking experiences, leadership programs, and community engagement activities annually.
Working closely with the Senior Director, Marketing, internal teams, speakers, benefactors, sponsors, and members, the Event Marketing Coordinator ensures events are delivered seamlessly from planning through post-event follow-up. Responsibilities include managing event timelines, coordinating speakers and partners, gathering and organizing event content, preparing event materials, supporting event communications, maintaining event webpages and registration details, and assisting with the creation of event assets.
In addition to supporting EWF-owned programming, this role coordinates EWF’s participation in key industry events, conferences, and community engagement opportunities to strengthen brand visibility, support partnerships, and create valuable connections for members.
The Event and Marketing Coordinator plays an important role in delivering high-quality experiences that strengthen member engagement, support corporate partnerships, and advance EWF’s strategic objectives. The ideal candidate is highly organized, proactive, detail-oriented, comfortable facilitating virtual experiences, and passionate about creating meaningful connections within a professional community.
This is a remote role working in ET/CT time zones.
Primary Responsibilities Include:
Event Coordination
Coordinate 50–75 annual virtual and in-person events, including webinars, workshops, networking programs, regional events, and member activities.
Manage event logistics, timelines, registration setup, communications, speakers, vendors, technology, and onsite execution from planning through follow-up.
Support annual conference planning and execution in partnership with the Conference and Events Manager.
Partner & Speaker Coordination
Serve as a resource and strategic partner to benefactors by conducting event consultation meetings to help plan impactful programming throughout the year.
Coordinate programming, speaker materials, sponsor deliverables, and event requirements to ensure successful execution.
Collect and manage speaker and partner materials, including biographies, headshots, presentations, and session details.
Collaborate with benefactors to identify timely topics and opportunities that align with member interests, industry trends, and EWF priorities.
Member Experience & Engagement
Manage attendee communications, registration support, networking activities, and event engagement to deliver a positive member experience.
Maintain event content, recordings, and resources in EWF CONNECT, including timely post-event publishing.
Digital & Event Operations
Manage event technology, registration platforms, and virtual event production
Coordinate external event logistics, including venues, AV, catering, shipping, booths, signage, vendors, and onsite requirements.
Marketing, Reporting, & Improvement
Partner with marketing to coordinate event content, promotional materials, branding, and timely communications.
Track event performance and attendee feedback to identify opportunities to improve programming, processes, and engagement.
Maintain accurate event records and support cross-functional initiatives as needed.
The Event and Marketing Coordinator role requires a high level of technological proficiency and adaptability, as the candidate will work across multiple platforms for project management, event execution, and marketing communications. The ideal candidate is comfortable navigating and mastering a variety of digital tools and channels to ensure seamless coordination and communication. Additionally, the Event and Marketing Coordinator will possess the following qualities, skills, and characteristics:
Bachelor’s degree in Marketing, Communications, Event Management, Business, or related field preferred, or equivalent experience.
Minimum of 3-5 years of experience in event coordination, event marketing, marketing operations, or related fields.
Strong project management and organizational skills with exceptional attention to detail.
Experience coordinating webinars, conferences, workshops, or professional programs.
Excellent written and verbal communication skills with the ability to communicate effectively with executives, partners, speakers, and members.
Proficiency with Microsoft Office Suite and experience using event, marketing, project management, and digital content platforms such as Microsoft Teams, Zoom, StreamYard, HubSpot, Monday.com, WordPress, and similar tools.
Comfortable presenting, facilitating, and engaging audiences in virtual environments.
Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
Collaborative mindset with strong problem-solving skills.
Ability to work effectively from a remote home office, with some travel required (less than 10%).
Experience working within a membership organization, association, or professional community.
Familiarity with CRM, marketing automation, event management, or registration platforms.
Experience analyzing event data and creating performance reports.
Experience supporting corporate partnerships, sponsorships, or executive-level events.
Compensation for this role has a range of $65,000-75,000 and is eligible for a discretionary bonus. The compensation package includes medical, dental, and vision insurance, 401k match, and generous PTO including sabbatical time and parental leave, as well as short- and long-term disability, life insurance, and FSA. This is a remote role working in ET/CT time zones.
