Service Writer
Location: In-Office | Monday-Friday, 7:30 AM - 4:30 PM
Pay Range: $22 - $30/hour depending on experience + Performance Bonuses

We're looking for a strong Service Writer who can generate timely, accurate repair and replacement proposals based on technician findings, and follow those recommendations all the way through to approval.
This role plays a critical part in profitability, customer communication, and operational flow between technicians, dispatch, purchasing, and management.

What You'll Be Responsible For
You will generate accurate and timely repair and replacement proposals based on technician recommendations for both residential and commercial customers.
Key responsibilities include:

Researching parts cost and availability
-
Building accurate material lists and staging requirements
-
Generating electronic purchase orders
-
Creating detailed repair and replacement proposals with correct part numbers and vendors

Ensuring proposals for:

Inoperable equipment are sent within 24 hours
-
Operational equipment are sent within 48 hours
-
Obtaining internal approval prior to sending proposals
-
Maintaining and updating the Commercial Quote Log
-
Tracking and following up on all pending recommended work until approved or declined
-
Creating new work orders for approved jobs and forwarding them for scheduling

Assisting customers in prioritizing repairs vs. replacement decisions
-
Educating customers on additional products or services
-
Supporting dispatch and customer service when needed
This role directly impacts gross margin, scheduling efficiency, and customer satisfaction.
What We're Looking For
Required:

High school diploma or GED
-
Minimum 2 years in customer service, estimating, or related experience

Strong written communication skills
-
Ability to multi-task and manage multiple active proposals
-
Strong organizational skills
-
Proficiency with Excel, Word, and Adobe Acrobat

Advanced customer service skills
Preferred:

Knowledge of HVAC, plumbing, or electrical industries

Experience with ServiceTitan or similar software
-
Understanding of gross margin and job costing principles
