Administrative Assistant Job Description
Reports to: Trustee Administrative Team and Senior Pastor
Position Status: Part-time Mon-Thursday 9am -4 =28 hours/wk
Evaluation: Semi-Annual review and Annual Evaluation

Purpose:
The Administrative Assistant at Vincennes First Baptist Church plays a crucial role in organizing and overseeing administrative operations. This position ensures smooth day-to-day office functions, communication, and support for pastors, staff, and ministry leaders are expected to fulfill the described responsibilities of this position and to follow the mission and values of FBCVIN. Your responsibilities are listed below, but are not limited to the following:
Job Responsibilities and Duties:
- Serve as the main point of contact for church members, visitors, and ministry leaders.
- Answer calls and respond to emails.
- Oversee church membership database (Planning Center, Breeze, or similar software).
- Coordinate with the pastoral staff, church leadership on administrative needs.
- Facilitate Church Communications'
- Data Management (Communications, attendance logs, Excell Docs)
- Assist in planning church-wide events, conferences, and outreach programs.
- Work closely with ministry leaders to schedule volunteers for events.
- Ensure hospitality for guest speakers, mission teams, and special events.
- Assist in preparing documents, handouts, and presentation materials for leadership meetings.
- This is an overview but not limited to the duties.
Job Skills and Requirements:
- Experience in office administration, preferably in a church or nonprofit setting.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office, Canva, Google Workspace, and church management software (e.g., Planning Center, Breeze).
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Problem-solving and team-oriented mindset to support church staff and volunteers.
- A heart for ministry and commitment to the mission of the church.
