What a Lead Confirmation Specialist Does
- Validates appointments or leads generated by marketing or canvassing teams.
- Contacts prospects (by phone, text, or email) to double-check that they are genuinely interested, available, and qualified.
- Confirms details such as the homeowner’s presence, property address, insurance information, or availability before sending a sales rep or project consultant to the appointment.
- Reduces no-shows by making sure prospects are aware of the appointment and committed to it.
Job Duties
- Act as the first point of contact for customers, responding to online inquiries (phone, email, text) within 5 minutes.
- Set and confirm leads promptly, ensuring a seamless transition to the sales team.
- Schedule appointments for Sales Consultants using best-fit practices.
- Follow up on unsold leads (rehash) with calls/emails and coordinate efforts with our Sales Team.
- Obtain customer reviews and referrals to support company growth and reputation.
- Address customer escalations and issues, ensuring follow-up within 24–48 hours, and keep leadership informed of status/resolution.
- Maintain accurate customer records in CRM, documenting all conversations and updating notes.
- Collect customer feedback surveys, input results into tracking reports, and share insights with management.
- Suggest improvements to customer service programs and support implementation initiatives.
Skills and Qualifications
- Strong desire to learn and become familiar with the practices and operation of the company as it relates to customer service, scheduling, and a strong understanding of operations
- Demonstrate attention to detail
- Ability to multitask with strong follow through on task completion
Education/Experience
- High School Diploma or Equivalent preferred but not required
- Three (3) years of telephone customer service experience required
- Demonstrated experience in a sales environment required
