Overview
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth office operations and providing excellent customer support. The ideal candidate will possess strong phone etiquette, time management skills, and the ability to multitask effectively in a fast-paced environment. Bilingual candidates are encouraged to apply, as communication with diverse clientele is a key aspect of this position.
Responsibilities
- Greet visitors and clients warmly at the front desk, ensuring a positive first impression.
- Manage incoming calls, providing information and directing inquiries to appropriate staff members.
- Maintain organized filing systems for both physical and digital documents.
- Assist with scheduling appointments and managing calendars for team members.
- Generate all customer invoices through Quickbooks accounting software program.
- Maintain accounts receivable and production work order files.
- Assists CFO with processing receivable and payable information and file organization.
- Work in conjunction with the Plant Manager and Shipping Clerk to process all freight shipments through an online system.
- Support office management tasks, including ordering supplies and maintaining inventory.
- Provide administrative support to various departments as needed, including data entry and document preparation.
- Handle customer support inquiries, addressing concerns promptly and professionally.
- Maintain confidentiality of sensitive information in accordance with company policies.
Requirements
- Proven experience as a receptionist or in an administrative role.
- Strong phone etiquette with excellent verbal communication skills.
- Bilingual proficiency is highly desirable to assist diverse clientele.
- Proficient in office software applications (e.g., Quickbooks & Microsoft Office Suite).
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Strong time management abilities to prioritize workload effectively.
- Attention to detail and accuracy in all tasks performed.
- Ability to work independently as well as part of a team.
