FINANCIAL ASSISTANT 1/PAYROLL COORDINATOR - JOB # 26-26

The Financial Assistant I/Payroll Coordinator will be responsible for assisting the Controller by performing a variety of accounting duties related to the Bank’s accounts payable process and maintaining the bank’s fiscal records keeping system related to financial reporting. Assures compliance with all bank policies and procedures as well as banking regulations, tax laws, and assist with attaining the bank/department goals.
Duties and Responsibilities:
- Assist in maintaining the accounts payable process in accordance with Finance policy, using the Banktel system. Verify accurate general ledger coding, check for authorized approvals, and document significant purchases are supported by executive/board approval.
- When requested, review employee expense reimbursement requests for compliance with Bank policy and process appropriately authorized reimbursements for payment. Verify the calculation of the standard mileage rate, match supporting receipts and check for authorized approvals.
- Monitor the vendor invoicing for the correct application and calculation of State sales and use tax, with timely direct feedback to vendors for necessary corrections. Coordinate with the senior accountant any necessary use tax accruals.
- Assist with maintaining vendor management statuses through routine monitoring and updates of vendor information, including Federal form W-9, confidentiality agreements, and ACH/Direct deposit authorizations.
- Help ensure timely and quality record retention of accounts payable, vendor management and related reports by prompt scanning to the Synergy system, followed by quality checks to ensure legibility of documentation.
- Monitor daily the accurate posting of general ledger transactions and general ledger interface activity, with necessary corrections and direct feedback to transaction originators. Coordinate with transaction originators prior to making corrections to ensure transaction is posted as intended. Scan supporting documents into Synergy for record retention.
- Perform daily and monthly general ledger account reviews and reconciliations.
- Gather and calculate data and prepare a variety of monthly, quarterly, and annual reports for management and the Controller.
- Conduct research and provide supporting documentation of accounts payable concerns, either for a vendor or internal banking staff.
- Provide support to all assigned areas in the department where service or assistance is needed.
Other Duties and Responsibilities:
- Other special projects as required.
- Cross-train with other department personnel; assumes responsibility for various department functions in the absence of staff members or in overload situations.
- Will perform other duties associated with the Bank’s general ledger accountants.
Job Requirements:
- Education: Associated Degree in Accounting preferred or equivalent combination of education and experience.
- Minimum Experience: 3 years of general ledger banking or industry experience; financial accounting and/or related background preferred.
Skills and Abilities Required:
- General banking experience, methods and procedures related to bank accounts or general ledger reconciliation.
- Basic knowledge of generally accepted accounting principles.
- Intermediate skills in computer terminal and personal computer operation; word processing and spreadsheet software programs.
- Effective communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, prepare reports, and speak clearly to customers and employees.
- Effective organizational and time management skills.
