POSITION TITLE: Bookkeeper/Secretary

REPORTS TO: Principal
The district may plan to fill this position with an internal applicant but all applications will be reviewed.
QUALIFICATIONS:
- High School diploma with training in bookkeeping related to procedures and ability to work independently with minimal supervision
- Two years experience in comparable duties in the field required

ESSENTIAL FUNCTIONS
ESSENTIAL FUNCTIONS:
- Expected Work Day: 8 hours
- Receive, count, receipt, and post all monies coming through the office for the general account, special accounts and lunchroom account
- Prepare monthly payroll for various employees (teachers, lunchroom workers, bus driver’s field trips, janitorial staff, etc.)
- Observe Alabama Local School Accounting Procedures
- Conduct routine bookkeeping duties such as posting ledgers, balancing accounts, reconciling bank statements, reporting, and making bank deposits
- Assign purchase orders and other related documents to the procurement of materials and supplies
- Issue checks for approved purchases and others as directed by the Principal
- Assist with preparation of monthly and annual financial reports
- Assist with the handling of student accident insurance if applicable
- Perform secretarial duties when necessary
- Demonstrate knowledge of accounting bookkeeping procedures with at least two years experience in bookkeeping field, preferably supplemented by college level courses
- Good mathematical and office practice skills
- A demonstrated ability to operate microcomputers, word processors, and peripheral equipment and to utilize a variety of financial and general office software, databases and calculators
- Ability to work harmoniously with students, educational staff and administration and to communicate effectively both orally and in writing
- Ability to work effectively under minimal supervision
- Be capable of moving and lifting moderately heavy weights (25 lbs)
- Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment
- Show politeness and good manners in dealing with others
- Assist principal, teachers, students and parents with their needs
- Answer telephone and take messages
- Maintain student attendance information and complete required forms
- Count money turned in by teachers, write receipts and make daily bank deposits
- File all monthly reports required by the board office
- Input information into computer (receipts, purchase orders, attendance)
- Sort and put mail in boxes
- Be courteous and professional at all times
- Maintain a neat and appropriate appearance
- Other duties as assigned by supervisor
