We are seeking a highly organized and detail-oriented Paralegal/Legal Assistant to join our busy law office. As a leading law firm practicing in various areas of law, including but not limited to, Corporate Law, Family Law, Litigation, Probate and Estate Planning, we are committed to providing exceptional legal services to our clients.
To accommodate the firm’s growing caseload and client base, we are looking to add a Paralegal or Legal Assistant to our team. This is a full-time position, with 40 hours available.
Key Responsibilities:
- Assist attorneys with case preparation, including drafting legal documents, correspondence, and pleadings.
- Conduct legal research and analysis using various resources such as online databases, legal libraries, and other sources to support case strategy and preparation.
- Organize and maintain case files, ensuring all relevant documents and information are accurately recorded and easily accessible.
- Coordinate client meetings, court appearances, and other appointments, managing attorney calendars efficiently.
- Communicate with clients, opposing counsel, and other parties involved in legal proceedings professionally and courteously.
- Assist in trial preparation, including preparing exhibits, witness lists, and other materials necessary for court proceedings.
- Review and summarize deposition transcripts, court documents, and other legal records as required.
- Maintain confidentiality of sensitive information and adhere to ethical standards of the legal profession.
- Efficiently scan and file legal documents into digital and physical filing systems.
- Fax important documents to clients, courts, and other legal entities.
- Organize and maintain client files, ensuring documents are properly categorized and accessible.
- Assist with document preparation and office organization as needed.
- Handle scheduling and appointments for attorneys and clients.
- Perform general administrative duties as needed, including answering phones, greeting clients, and managing office correspondence.
- Provide excellent customer service and ensure a welcoming environment for clients and visitors.
Qualifications:
- Strong proficiency in legal research and writing, with excellent attention to detail.
- Proficiency in Microsoft Office Suite and legal research databases, experience in Practice Master preferred, but not required.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience with Real Estate a bonus, not required.
- Knowledge of Wisconsin state laws and court procedures preferred.
- Associate’s degree or equivalent experience in paralegal studies or a related field.
- Previous experience working as a paralegal or legal assistant in a law firm setting preferred.
- Certification as a paralegal is a plus.
