Position Overview
We are seeking a detail-oriented and highly organized Default Operations Specialist – Foreclosure, Bankruptcy & REO to support mortgage servicing operations involving foreclosure, bankruptcy, and post-foreclosure real estate owned (REO) activities. This role serves as a critical liaison between internal servicing, legal, compliance, and asset management teams, while coordinating with outside counsel, vendors, title companies, and other stakeholders.
The ideal candidate will have experience in mortgage default servicing, legal operations, foreclosure administration, bankruptcy case management, or REO support and possess the ability to manage multiple deadlines, maintain audit-ready records, and ensure compliance with investor, insurer, agency, and regulatory requirements.
Key ResponsibilitiesForeclosure Operations
- Support the administration of foreclosure files from referral through sale, conveyance, claim filing, and final resolution.
- Coordinate with foreclosure counsel regarding pleadings, affidavits, notices, sale scheduling, title issues, contested matters, litigation holds, and status updates.
- Monitor foreclosure milestones, statutory deadlines, investor requirements, and attorney performance expectations.
- Review foreclosure documentation for accuracy, completeness, and consistency with servicing system records.
- Prepare status reports, escalation summaries, and documentation requests for management and business partners.
- Assist with quality control reviews to ensure required notices, approvals, and procedural steps are completed.
Bankruptcy Administration
- Support mortgage servicing activities related to Chapters 7, 11, 12, and 13 bankruptcy proceedings.
- Coordinate with bankruptcy counsel regarding proofs of claim, payment change notices, post-petition fee notices, motions for relief from stay, objections, and case updates.
- Monitor court deadlines, plan treatment requirements, discharge events, dismissals, and other critical case developments.
- Review bankruptcy-related documentation to ensure accurate servicing, filing, and reconciliation activities.
- Maintain case notes, audit trails, and document repositories to support compliance requirements.
- Assist internal departments with bankruptcy research, file reviews, and issue resolution.
REO & Post-Foreclosure Support
- Assist with post-foreclosure and REO activities, including title review, eviction coordination, property preservation, conveyance tracking, and disposition support.
- Coordinate with vendors, title companies, real estate agents, outside counsel, and asset management teams regarding property status and documentation needs.
- Monitor investor, insurer, and agency timelines for conveyance, claims, post-sale processing, and property disposition.
- Review REO files for documentation completeness, approvals, invoices, title curative actions, and milestone completion.
- Support reporting related to REO inventory, aging, exceptions, escalations, and vendor performance.
- Assist in resolving title defects, occupancy issues, code violations, preservation concerns, and contested possession matters.
General Operations & Compliance
- Maintain accurate records, notes, document uploads, and status updates in servicing, legal, and document management systems.
- Manage assigned work queues, exception reports, and deadlines to ensure timely follow-up and escalation.
- Prepare correspondence, reports, status updates, and management summaries.
- Support audits, quality control reviews, attorney oversight, vendor management activities, and compliance-related initiatives.
- Identify operational risks, documentation issues, compliance concerns, and process improvement opportunities.
- Conduct legal and factual research to support foreclosure, bankruptcy, litigation, REO, and compliance matters.
- Maintain strict confidentiality of borrower, financial, legal, and company information.
QualificationsRequired
- Associate degree, Bachelor's degree, or equivalent professional experience in mortgage servicing, default servicing, legal operations, foreclosure, bankruptcy, REO, real estate, or a related field.
- Experience supporting foreclosure, bankruptcy, REO, litigation, default servicing, or mortgage servicing operations preferred.
- Knowledge of legal documentation, court processes, attorney communications, and case management practices.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and the ability to learn servicing platforms, legal tracking tools, vendor portals, and document management systems.
- Ability to interpret procedures, investor requirements, legal instructions, and regulatory guidelines.
Preferred
- Experience with mortgage default servicing workflows, including foreclosure, bankruptcy, loss mitigation, post-sale processing, claims administration, and REO disposition.
- Familiarity with FHA, VA, USDA, Fannie Mae, Freddie Mac, and private investor requirements.
- Understanding of bankruptcy servicing requirements, including automatic stays, proofs of claim, payment change notices, post-petition fees, and Chapter 13 plan monitoring.
- Experience reviewing legal invoices, affidavits, title documents, pleadings, notices, and attorney status reports.
- Experience supporting audits, quality control programs, compliance testing, or attorney/vendor oversight.
