We are seeking a highly organized, personable, and proactive Front Desk & Administrative Assistant to become an integral part of our team. This role is perfect for someone who enjoys working with people, thrives in a fast-paced environment, and has a passion for customer service, marketing, and business development.
Key Responsibilities
Front Desk & Member Experience
● Welcome students, parents, and prospective members with professionalism and enthusiasm.
● Provide exceptional customer service and ensure every visitor has a positive experience.
● Answer incoming phone calls, emails, text messages, and social media inquiries.
● Assist prospective members with academy information, schedules, memberships, and trial bookings.
● Manage daily check-ins and maintain an organized front desk area.Membership & Billing Administration
● Process membership payments and retail transactions.
● Monitor member accounts and follow up on overdue or missed payments.
● Maintain accurate member records within the academy CRM system.
● Assist with membership renewals, upgrades, and cancellations.
● Generate reports and track key membership metrics.CRM & Marketing Support
● Manage and update CRM databases.
● Track leads and ensure timely follow-up with prospective members.
● Create, schedule, and send email marketing campaigns (EDMs).
● Assist with lead nurturing and member retention initiatives.
● Support promotional campaigns, events, and academy marketing efforts.Social Media & Content Creation
● Capture photos and videos during classes, events, and academy activities.
● Create and publish engaging content across social media platforms.
● Assist with content planning and scheduling.
● Help showcase student success stories, academy culture, and upcoming events.
● Work closely with academy leadership to maintain brand consistency.
Business Development
● Follow up with inquiries and trial members.
● Assist in converting leads into paying members.
● Help identify opportunities to improve member retention and academy growth.
● Support community outreach and local marketing initiatives.Qualifications Required
● Excellent communication and interpersonal skills.
● Strong customer service background.
● Professional, friendly, and reliable demeanor.
● Experience using CRM systems and basic administrative software.
● Strong organizational skills and attention to detail.
● Ability to multitask in a dynamic environment.
● Comfortable using social media platforms including Instagram, Facebook, and TikTok.
● Self-motivated with a proactive approach to problem-solving.Preferred
● Experience in a gym, fitness, martial arts academy, or membership-based business.
● Knowledge of CRM platforms such as GymDesk, Mindbody, Zen Planner, HubSpot, or similar systems.
● Experience creating email marketing campaigns.
● Basic photography and videography skills.
● Knowledge of Brazilian Jiu-Jitsu, Muay Thai, MMA, or combat sports.
● Sales or lead conversion experience.
