Practice Manager
Location: Westlake, Austin, Texas (on-site)
Schedule: Full-time, salaried; primarily Monday through Friday, with occasional flexibility for practice needs
Compensation: Competitive salary, commensurate with experience, plus benefits

ABOUT THE PRACTICE
Yacoub Signature Medicine is a new concierge internal medicine practice opening in the Westlake area of Austin, founded by Hayan Yacoub, MD, a board-certified internist with three decades of clinical experience. The practice is built around a deliberately small membership, unhurried visits, same-day access, and a focus on evidence-based preventive and longevity medicine. We bill insurance and Medicare for covered services while an annual membership supports the enhanced level of access and attention our patients receive. This is a ground-floor opportunity to help build a practice from its first day and shape how it runs.
ABOUT THE ROLE
The Practice Manager is the operational backbone of the practice and, in the early months, its most versatile team member. You will run the front office and the business office: answering phones the way a five-star hotel would, managing the schedule, onboarding new members, overseeing billing and collections, and keeping the clinic running smoothly so the physician can focus entirely on patients. Because our panel is intentionally small, every patient interaction matters, and you will know our members by name.
This is a builder's role. You will help stand up workflows, refine our EMR configuration, and establish the systems a brand-new practice needs. Candidates who find that exciting rather than daunting will thrive here.
KEY RESPONSIBILITIES
- Manage daily clinic operations: scheduling, patient flow, supplies, vendor coordination, and facility needs
- Serve as the warm, polished first point of contact for patients by phone, email, and in person
- Own the revenue cycle: charge entry, claim submission, payment posting, denial management, appeals, and accounts receivable follow-up
- Verify insurance eligibility and benefits; communicate clearly with patients about coverage and balances
- Administer membership onboarding, renewals, and billing, and maintain accurate member records
- Maintain the EMR (Elation Health) and related systems; support telehealth and patient portal workflows
- Support credentialing, compliance, and HIPAA documentation in coordination with the practice's outside partners
- Prepare basic financial and operational reports on collections, receivables, and membership revenue in coordination with the practice's bookkeeper
- Assist with recruiting, hiring, and onboarding future team members as the practice grows
- If clinically credentialed, provide back-office clinical support such as rooming patients, vitals, vaccines, and specimen collection for our reference labs
REQUIRED QUALIFICATIONS
- Three or more years managing or supervising operations in a medical practice or outpatient clinic
- Hands-on experience with medical billing, including denials, appeals, and accounts receivable
- Working knowledge of commercial insurance and Medicare billing rules
- Proficiency with an ambulatory EMR and practice management software; Elation Health experience is a plus
- Exceptional phone manner, written communication, and attention to detail
- Discretion and sound judgment handling confidential patient and financial information
PREFERRED QUALIFICATIONS
- Clinical background as a Medical Assistant, LVN, or RN, with certification actively maintained (strong plus)
- Experience in concierge, membership-based, or private-pay medicine
- Experience helping launch or grow a new practice or clinic location
- Familiarity with LabCorp and Quest specimen workflows and in-office vaccine handling
