Position Summary
The Accounting Manager is responsible for overseeing daily accounting operations, financial reporting, grant accounting, budgeting, auditing support, and fiscal compliance for the organization’s programs and funding sources. This position manages financial documentation, grant billing, reconciliations, budget tracking, accounts payable functions, and reporting requirements related to public and private funding. The Accounting Manager works closely with leadership to ensure financial accuracy, regulatory compliance, and effective fiscal management across all organizational operations.
Key Responsibilities
Financial Management & Accounting
- Maintain and oversee daily accounting operations and financial records
- Perform month-end and year-end reconciliations and financial closeout activities
- Prepare and maintain financial reports, statements, and supporting schedules
- Monitor accounts receivable, advances, expenditures, and revenue tracking
- Process and reconcile vendor invoices and payments
- Maintain organized financial records and supporting documentation
- Perform payroll-related reporting and allocation tracking as needed
- Ensure compliance with organizational and DFTA financial policies and procedures
Grant Accounting & Budget Management
- Prepare grant budgets, budget modifications, and supporting financial documentation
- Assist with grant proposal budget preparation and pre-award financial submissions
- Prepare and submit monthly, quarterly, and annual grant billings and invoices
- Ensure timely submission of invoices and financial reports to DFTA via Passport
- Monitor grant expenditures and spending projections to ensure compliance with funding requirements
- Prepare grant performance and budget reports for leadership review
- Support contract and funding compliance monitoring activities
Auditing & Compliance
- Coordinate and support internal and external audits
- Prepare audit schedules, financial records, and supporting documentation for auditors and funding agencies
- Conduct periodic financial reviews and internal auditing processes to identify discrepancies or compliance concerns
- Ensure financial reporting and accounting practices comply with applicable regulations, grant requirements, and organizational standards
- Respond to audit inquiries and assist with corrective action implementation when necessary
Operational & Administrative Support
- Collaborate with leadership and programming staff regarding financial planning and reporting
- Assist with financial forecasting, operational reporting, and budget monitoring
- Maintain Full-Time Equivalent (FTE) allocation and funding documentation as required
- Support development and submission of grants, RFPs, and funding proposals
- Attend meetings and provide financial updates or reports as needed
- Perform additional duties as assigned to support organizational operations
Education and Experience
- Bachelor’s degree in Accounting, Finance, or related field required
- Minimum of 3–5 years of accounting or fiscal management experience, preferably within nonprofit or grant-funded organizations
- Experience with NYC social service programs and government contracts preferred, including DFTA and DHS
Qualifications and Skills
- Strong knowledge of grant accounting, budgeting, financial reporting, and auditing processes
- Proficiency in accounting systems, Microsoft suite, QuickBooks, and financial reporting software
- Strong analytical, organizational, and communication skills
- Ability to manage multiple deadlines and maintain confidentiality
Physical Requirements/ Work Environment
- Ability to sit and perform computer-based work for extended periods
- Ability to occasionally lift and transport files or office materials
- Work is primarily performed in an office environment
- Position may require occasional travel to program sites or meetings
