Responsibilities
- Greet patients professionally
- Check patients in and out
- Verify demographics and insurance information
- Collect copays and outstanding balances
- Answer incoming phone calls
- Return patient messages
- Schedule new and follow-up appointments
- Coordinate referrals
- Manage physician schedules
- Confirm appointments
- Process cancellations and reschedules
- Scan and upload medical records
- Fax records and forms
- Process incoming faxes
- Obtain outside medical records
- Maintain patient confidentiality (HIPAA)
- Maintain organized front office operations
Insurance & Authorizations
- Verify insurance eligibility
- Obtain prior authorizations
- Coordinate referrals
- Track authorization status
- Follow up on pending authorizations
- Communicate insurance requirements to patients
Medical Assistant Responsibilities (Floating)
When assisting in the clinical area, responsibilities include:
- Room patients
- Obtain vital signs
- Update medication lists
- Obtain medical history
- Prepare examination rooms
- Assist physicians during patient visits
- Document patient information in Athena EMR
- Prepare procedure trays
- Assist with Botox clinics
- Assist with EMG/NCS clinics
- Assist with EEG scheduling and preparation
- Administer injections (if certified and permitted)
- Perform EKGs (if trained)
- Collect specimens as needed
- Coordinate laboratory orders
- Provide patient education
- Clean and stock examination rooms
- Maintain medical supplies
Care Coordination
- Coordinate imaging appointments
- Schedule EMGs
- Schedule EEGs
- Coordinate outside consultations
- Track pending referrals
- Follow up on diagnostic testing
- Assist with prescription refill requests
- Communicate physician recommendations
- Coordinate urgent appointments
Administrative Responsibilities
- Maintain accurate documentation
- Complete forms
- Prepare disability paperwork
- Process FMLA forms
- Scan medical records
- Upload outside records
- Maintain physician inboxes
- Monitor electronic messages
- Assist with quality improvement projects
- Participate in staff meetings
Technology
Experience preferred with:
- Athenahealth EMR
- Microsoft Office

QualificationsRequired
- Medical Assistant Certification (preferred)
- High School Diploma or equivalent
- Minimum 2 years medical office experience
- Excellent customer service skills
- Strong communication skills
