Flexible Manufacturing Company is looking for Account Payable & Administrative Clerk to join our team. The ideal candidate must have a good understanding of Accounts Payable processes, excellent communication skills, and the ability to work collaboratively with vendors and internal departments to resolve discrepancies and ensure timely processing of payments.
Accounts Payable Duties and Responsibilities
· Process vendor invoices accurately and in a timely manner.
· Match purchase orders, receiving documents and invoices: investigate and resolve discrepancies.
· Communicate with vendors and internal departments to obtain missing information and resolve payment issues.
· Maintain vendor records and ensure vendor accounts are reconciled regularly
· Respond promptly and professionally to vendor inquiries.
· Assist with month-end closing activities, accruals, and account reconciliations related to accounts payable.
· Monitor outstanding invoices and follow up on unresolved items.
Administrative Support Duties and Responsibilities
· Provide administrative assistance to the Accounting and Management teams.
· Maintain filing systems and organize financial and administrative records.
· Assist with preparation of reports, spreadsheets, and correspondence.
· Support special projects and perform additional administrative duties as assigned.
· Coordinate with various departments to ensure timely completion of administrative and accounting tasks.
Requirements and Qualifications
· Minimum 3 years of Accounts Payable experience in a fast-paced business environment.
· Bilingual a must (English/Spanish)
· Strong understanding of the complete AP cycle and related internal controls.
· Excellent time management skills; able to prioritize
· Strong written and verbal communication skills
· Experience working with vendors and multiple departments to resolve invoice and documentation issues.
· Proficiency in Microsoft Excel
· Experience with ERP/accounting systems (Microsoft Dynamics GP experience is considered an asset).
· Excellent organizational skills with a high level of accuracy and attention to detail.
· Ability to prioritize competing deadlines and work effectively under pressure.
· Self-motivated, dependable, and capable of working independently as well as within a team environment.
· Customer-service-oriented approach when dealing with vendors and internal stakeholders.
· Must reside within reasonable commuting distance of the workplace.
· Ability to adapt to changing priorities and take on additional responsibilities as required.
