ProToCall is looking for an experienced Quote Specialist to join our growing team in a fully remote role.
This isn't simply a data-entry or administrative quoting position. You'll be an important link between our sales team, service technicians, service managers, vendors, manufacturers, and customers — taking complex project information and turning it into clear, competitive, and accurate proposals.
We're looking for someone who understands the industry well enough to spot when something doesn't look right, ask the right questions, track down the information that's missing, and make sure the final quote is something we're confident putting in front of a customer.
What You'll Do - Build Accurate, Competitive Quotes
- Review technician field notes, project scopes, equipment information, and other documentation to develop accurate cost estimates and formal customer quotes.
- Evaluate equipment, parts, materials, labor, and other project requirements.
- Catch discrepancies in part numbers, quantities, labor estimates, and project requirements before the proposal reaches the customer.
- Create polished, professional proposals that clearly communicate the recommended scope of work.
Work With Vendors & Manufacturers
You won't be estimating in a vacuum.
You'll:
- Source equipment and parts pricing from manufacturers and distributors.
- Confirm product availability and lead times.
- Research equipment and replacement options when necessary.
- Negotiate pricing when appropriate.
- Develop strong working relationships with the vendors and manufacturers that help us serve our customers.
Connect the Field, Sales & Service Teams
Great quotes require great information.
You'll work closely with our service technicians, service managers, and sales team to clarify project scopes, resolve missing or conflicting information, and make sure everyone is working from the same playbook.
Sometimes the answer will be obvious.
Sometimes you'll need to dig.
We're looking for someone who's comfortable doing both.
What You Bring
This position requires someone with genuine industry knowledge — not simply someone who's good with numbers.
We're looking for:
- 5+ years of direct experience with commercial kitchen equipment (hot and/or cold side), HVAC/R systems, or a closely related industry.
- Strong understanding of commercial equipment, parts, service requirements, and terminology.
- Previous estimating, quoting, service coordination, sales support, or related experience strongly preferred.
- Excellent written and verbal communication skills.
- Strong professional writing, grammar, and proofreading abilities.
- High level of comfort with technology, including CRM/ERP platforms, estimating software, and Microsoft Office.
- Strong Excel skills.
- Exceptional attention to detail.
- Ability to manage multiple quotes, projects, and deadlines without losing track of the details.
- Strong problem-solving skills and the confidence to ask questions when something doesn't add up.
