POSITION SUMMARY:
We are currently seeking an experienced, highly organized, and proactive Chief Executive Assistant to the CEO to join our Executive team.
This individual will serve as the CEO's trusted right hand, providing comprehensive support across three primary areas: Business Operations, Personal Operations, and Health & Wellness. The ideal candidate will thrive in a fast-paced environment, anticipate needs before they arise, maintain the highest level of confidentiality, and execute projects with exceptional attention to detail.
This position requires someone who is resourceful, solutions-oriented, and capable of balancing multiple priorities while ensuring nothing falls through the cracks. Success in this role means allowing the CEO to focus on strategic initiatives by managing the day-to-day details of both professional and personal responsibilities.
DUTIES & REQUIREMENTS:
BUSINESS OPERATIONS
- Manage the CEO's business calendar, meetings, and daily schedule.
- Coordinate domestic and international business travel.
- Prepare meeting agendas, reports, presentations, and supporting materials.
- Track projects, deadlines, and follow-up items to ensure completion.
- Communicate with executives, employees, vendors, attorneys, and outside partners on behalf of the CEO.
- Assist with research, reporting, and special projects.
- Maintain confidential business records and sensitive information.
- Identify inefficiencies and implement systems to improve business operations.
- Ensure tasks assigned by the CEO are completed accurately and on time.
- Anticipate business needs and proactively develop solutions.
PERSONAL OPERATIONS
- Manage the CEO's personal calendar and appointments.
- Coordinate personal travel, reservations, and itineraries.
- Schedule medical, dental, and personal appointments.
- Run errands and oversee personal projects.
- Coordinate household vendors, maintenance, deliveries, and service providers.
- Coordinate family events, vacations, and special occasions.
- Manage personal purchases, gifts, and miscellaneous requests.
- Handle confidential personal matters with professionalism and discretion.
HEALTH & WELLNESS
- Coordinate appointments with physicians, specialists, trainers, and wellness providers.
- Monitor medication schedules and refill reminders.
- Track vitamins, supplements, and wellness routines.
- Assist with nutrition planning and healthy lifestyle initiatives.
- Coordinate fitness schedules and personal training sessions.
- Help monitor progress toward personal health and wellness goals.
- Organize confidential medical records and healthcare documentation.
- Research health-related products, treatments, and services.
- Create accountability systems that support the CEO's overall health and well-being.
GENERAL RESPONSIBILITIES
- Exercise sound judgment while maintaining complete confidentiality.
- Anticipate needs before they arise and proactively solve problems.
- Manage multiple priorities in a fast-paced environment.
- Maintain exceptional organization and attention to detail.
- Communicate professionally with internal and external stakeholders.
- Take ownership of projects from conception through completion.
- Be flexible with changing priorities and occasional after-hours responsibilities
QUALIFICATIONS:
- Bachelor's degree preferred.
- 5+ years of experience supporting a CEO, executive, entrepreneur, or high-net-worth individual.
- Background in Kinesiology, Exercise Science, Nutrition, Health Sciences, or a related field is highly preferred.
- Exceptional organizational and project management skills.
- Excellent written and verbal communication abilities.
- Strong problem-solving skills and a proactive mindset.
- Advanced proficiency with Microsoft Office, Google Workspace, Apple products, and calendar management systems.
- Ability to manage multiple projects while meeting deadlines.
- Experience coordinating complex travel and executive scheduling.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Self-starter with exceptional follow-through and accountability.
- Positive attitude, strong work ethic, and willingness to take on responsibilities beyond a traditional Executive Assistant role.

Pay: $60,000.00 - $100,000.00 per year
