Overview
Our forward thinking and patient centered Orthodontic practice is seeking a highly organized and personable Front Office Coordinator to serve as the first point of contact for our organization and is passionate about the success of the practice. The ideal candidate will demonstrate excellent communication skills, bring strong clerical skills, proficiency with office software, and a proactive approach to problem-solving. Must have a professional demeanor, and the ability to manage multiple administrative tasks efficiently. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and supporting office management functions.
This position will assist in overseeing the day-to-day operations of the practice, manage employee workflow, help with front office and administrative duties, and ensure the overall success of the practice. We are looking for a leader for this area.
The ideal candidate will have a minimum of 3 years dental office leadership experience, have profound knowledge of treatment planning and insurance coverage and must have worked in an Orthodontic office or Dental Office.
Working hours: 4 days per week Tuesday to Friday or Monday to Thursday. Hours are Monday Tuesday Thursdays 8am-5 pm -Wednesdays 8am-6pm- Friday 7am-3:30 pm
Compensation: $19-$26 / HR + bonuses

- Greet visitors and clients warmly, ensuring a positive first impression of the organization.
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette. Weave Phones.
- Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meeting logistics.
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows.
- Utilize office management tools such as Microsoft Office, Google Workspace, Monday Boards, Ortho 2 Edge and Slack to support daily operations.
- Support customer service efforts by addressing inquiries promptly and providing helpful information or directing requests appropriately.
- Maintain an organized reception area and ensure all office supplies are stocked and accessible.
- Provide calendar management and task prioritization for staff members.
- Oversite of activities of the practice-all front desk patient interaction activities.
- Supervision, coaching, training and inspiring team members.
- Assisting in marketing and public relations for monthly and planned events.
- Implementing and reinforcing procedures and policies.
- Maintaining team morale and help to foster the Core Values and Mission of the practice within the team.

- Proven experience with front desk operations, clerical duties, and office management.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar).
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional phone etiquette skills combined with experience managing multi-line phone systems.
- Demonstrated customer service expertise with a professional attitude and positive communication style.
- Attention to detail in proofreading, data entry, filing, and maintaining accurate records.
- Experience in dental receptionist roles is required; familiarity with appointment scheduling is essential.
