Responsibilities
- Office Administration
- Assist with maintaining filing systems and administrative records.
- Maintain employee and customer contact lists.
- Assist with document preparation, copying, assembly of manuals, mailings, mass mailings, and shipping to customers and prospective customers.
- Provide backup coverage, special project support, and other administrative assistance as assigned.
- Mail and Shipping Support
- Coordinate incoming and outgoing mail, packages, and overnight shipments using USPS, FedEx, and other shipping services.
- Review shipping invoices for accuracy and assist with resolving billing discrepancies.
- Support the Forms & Supplies, software, and sales departments with order entry, fulfillment, and shipping activities as needed.
- Facility Operations
- Maintain inventory/supplies for office, kitchen, restroom, and mailroom, and place orders as needed.
- Coordinate service and maintenance requests for office equipment including copiers, postage systems, and other shared office technology.
- Employee & Company Support
- Assist with the planning and execution of employee events, celebrations, holiday gatherings, and recognition activities.
- Coordinate refreshments and catering for visitors, meetings, and company events.
- Reception & Customer Service
- Professionally answer, screen, and direct incoming telephone calls.
- Welcome visitors in a courteous and professional manner and assist with directions, transportation arrangements, and general office information.
- Maintain the appearance and organization of reception and common areas.
- Adhere to all company policies
Qualifications
- High school diploma required; additional administrative or business coursework is a plus.
- Minimum of 1-3 years experience working in an office environment.
- Exceptional telephone and customer service skills.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced office environment.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Familiarity with office equipment such as copiers, scanners, postage systems, and multi-line phone systems.
- Experience with shipping software and inventory management is preferred.
- Experience with business software is a plus.

Pay: $38,000.00 - $42,000.00 per year
