As we continue to grow, we’re seeking an experienced Chief of Staff to partner directly with our executive leadership team and help drive the next phase of our company’s success.
This is not a traditional administrative role. It is a strategic leadership position for someone who enjoys improving operations, coordinating high-impact initiatives, solving complex business challenges, and helping executives execute their vision.

What You’ll Do
Executive Partnership
- Serve as the primary strategic partner to the Chief Operating Officer and Director of Operations.
- Help manage executive priorities and ensure focus remains on the company’s highest-value initiatives.
- Coordinate executive calendars, meetings, and strategic planning sessions.
- Anticipate scheduling conflicts and recommend solutions before problems arise.
- Prepare executive presentations, reports, agendas, and decision-support materials.
- Track executive commitments and ensure follow-up on key action items.
- Coordinate business travel and executive logistics when required.
Strategic Project Management
- Lead company-wide initiatives from planning through execution.
- Coordinate cross-functional projects involving Operations, Technology, Marketing, Sales, HR, and Customer Experience.
- Hold department leaders accountable for deadlines and deliverables.
- Identify bottlenecks before they impact business objectives.
- Research business issues and prepare recommendations for executive leadership.
- Ensure strategic initiatives remain on schedule and aligned with company goals.
Operations & Process Improvement
- Identify opportunities to improve operational efficiency across the organization.
- Help design, document, and improve Standard Operating Procedures (SOPs).
- Assist with implementing new technologies and business systems.
- Coordinate operational improvement initiatives.
- Improve communication between departments.
- Organize documentation and internal knowledge systems.
- Support company initiatives that improve productivity, accountability, and employee experience.
Executive Leadership Support
- Support the COO, CEO, Director of Operations, Director of Human Resources, and leadership team.
- Coordinate leadership meetings and company planning sessions.
- Record meeting notes, decisions, and action items.
- Prepare executive correspondence and business documentation.
- Maintain highly confidential executive records.
- Ensure follow-through across leadership initiatives.
Human Resources Partnership
- Support executive HR initiatives and special projects.
- Assist with employee communications and engagement initiatives.
- Coordinate leadership development and organizational projects.
- Maintain complete confidentiality regarding employee and company matters.
- Grow into broader HR and Operations leadership responsibilities over time.
What We’re Looking For
Required Qualifications
- 5+ years supporting executives or senior leadership
- Experience as a Chief of Staff, Executive Assistant, Executive Administrator, Operations Manager, Project Manager, Business Operations, or similar role
- Outstanding organizational and project management skills
- Excellent written and verbal communication
- Strong business judgment and decision-making ability
- Ability to manage multiple priorities with minimal supervision
- Exceptional attention to detail
- Advanced proficiency with Google Workspace or Microsoft Office
- Comfortable learning new technology platforms
- Strong problem-solving skills
- Ability to maintain absolute confidentiality
Preferred Qualifications
- Experience supporting a COO, CEO, Founder, or business owner
- Experience in Operations, Human Resources, Project Management, or Business Administration
- Experience working within a growing entrepreneurial company
- Experience with AI productivity tools such as ChatGPT, Gemini, or Microsoft Copilot
- Experience with project management software including ClickUp, Monday.com, Asana, Trello, or similar platforms
- Bachelor’s degree preferred but not required

Compensation & Benefits
Salary: $95,000–$115,000 annually, depending on experience
