We are seeking an experienced Inventory Assistant Manager who is highly organized, detail-oriented, and passionate about operational excellence. This individual will oversee all inventory operations while ensuring complete compliance with New York State Office of Cannabis Management (OCM) regulations and maintaining a seamless product flow from receiving to point of sale.
Position Summary
The Inventory Assistant Manager is responsible for overseeing all cannabis and non-cannabis inventory operations, including receiving, Metrc seed-to-sale tracking, inventory accuracy, purchasing coordination, compliance, vendor management, and inventory team leadership. This position serves as the dispensary's subject matter expert for inventory management and regulatory compliance while ensuring products are accurately tracked, properly stored, and readily available to support an exceptional guest experience.
The ideal candidate possesses strong analytical skills, exceptional attention to detail, and proven leadership experience in inventory management within a highly regulated environment.
Essential Responsibilities
Inventory Management

Oversee and manage all cannabis and non-cannabis inventory from receiving through final point of sale.

Maintain the highest level of inventory accuracy within Metrc and all inventory management systems.

Ensure complete seed-to-sale compliance for every cannabis product.

Conduct and oversee daily, weekly, monthly, and annual inventory counts and reconciliations.

Investigate, document, and resolve inventory discrepancies, variances, damaged products, and compliance concerns.

Monitor product expiration dates and coordinate timely product rotation, returns, or disposal.

Develop, implement, and continuously improve inventory control procedures and Standard Operating Procedures (SOPs).

Ensure inventory is properly labeled, packaged, stored, and secured in accordance with New York State OCM regulations and Hypotency Cannabis standards.
Receiving & Vendor Management
-
Oversee the receiving process for all incoming cannabis and non-cannabis deliveries.

Verify invoices, manifests, product quantities, and delivery documentation.

Coordinate purchasing decisions with the General Manager to maintain optimal inventory levels and a curated product assortment.

Develop and maintain strong relationships with cultivators, processors, distributors, and vendor partners.

Coordinate vendor delivery schedules and ensure timely product availability.

Monitor vendor performance and communicate inventory needs proactively.
Compliance & Risk Management

Serve as the dispensary's primary point of contact for inventory-related compliance matters.

Ensure full compliance with all New York State Office of Cannabis Management (OCM) regulations and company policies.

Maintain complete and organized inventory documentation for audits, inspections, and regulatory reporting.

Prepare the dispensary for state inspections, internal audits, and inventory reviews.

Stay current on all changes to New York cannabis regulations affecting inventory operations.

Identify compliance risks and implement corrective actions when necessary.
Leadership & Team Development

Hire, train, supervise, and develop Inventory Associates.

Create and manage inventory team schedules to ensure adequate operational coverage.

Provide ongoing coaching, performance feedback, and professional development opportunities.

Foster a culture of accountability, organization, teamwork, and continuous improvement.

Establish performance expectations and monitor productivity across the inventory team.
Reporting & Business Analytics

Generate and analyze inventory reports including stock levels, shrinkage, inventory variances, sell-through rates, and product performance.

Present inventory insights and operational recommendations to dispensary leadership.

Monitor inventory budgets in partnership with the General Manager.

Utilize POS systems, Metrc, and inventory software to analyze sales trends and forecast purchasing needs.

Recommend inventory adjustments based on seasonal trends, customer demand, and sales performance.
Operational Support

Coordinate with Budtenders and Shift Leads to ensure the sales floor remains fully stocked throughout operating hours.

Support opening and closing inventory procedures.

Maintain organized vaults, stockrooms, and storage areas.

Assist with operational planning to improve efficiency while minimizing product loss.

Support special product launches, vendor events, and promotional initiatives.
Qualifications
Required Qualifications

Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or related field preferred (or equivalent experience).

Minimum of 3 years of inventory management or warehouse leadership experience.

Previous leadership experience supervising inventory or warehouse teams.

Strong knowledge of inventory control principles and operational best practices.

Excellent organizational, analytical, and problem-solving skills.

Strong mathematical aptitude and attention to detail.

Experience utilizing inventory management software, POS systems, Microsoft Excel, and reporting tools.

Ability to prioritize multiple responsibilities in a fast-paced environment.

Excellent communication and leadership skills.

Must meet all eligibility requirements to work within the New York State cannabis industry.
Preferred Qualifications

Previous cannabis inventory management experience.

Experience using Metrc seed-to-sale software.

Strong understanding of New York State Office of Cannabis Management (OCM) regulations.

Experience preparing for state inspections and compliance audits.

Retail inventory, warehouse, logistics, or supply chain leadership experience.
Physical Requirements & Work Environment

Ability to remain in a stationary position or move throughout the dispensary as needed during scheduled shifts.

Ability to move throughout inventory storage areas, vaults, receiving locations, and the sales floor while performing the essential functions of the position.

Ability to frequently lift, move, carry, push, or pull products and supplies weighing up to 40 pounds.

Ability to bend, reach, squat, climb step stools, and perform repetitive movements throughout the workday.

Ability to operate computers, tablets, barcode scanners, inventory software, Metrc, and point-of-sale (POS) systems.

Ability to communicate effectively with coworkers, vendors, regulators, and leadership in person, by phone, and electronically.
