Position Summary:
We are seeking an Administrative Assistant to support our senior leadership, HR, and clinical teams. The Administrative Assistant will manage executive correspondence, schedule meetings, and assist with recruiting and new hire onboarding. Additionally, they will ensure compliance by tracking employee training and records while supporting workplace culture through employee engagement and recognition initiatives.
Posted Salary Range: USD $15.00 - USD $17.00 /Hr. Wage Commensuration: The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including, but not limited to, skill sets, experience, education and training, licensure and certifications, and other business and organizational needs. Duties & Responsibilities:
Executive & Administrative Support

Communication & Correspondence: Manage daily administrative communications, including phones, messages for senior leadership, mail/shipping (USPS, UPS, FedEx), and staff contact lists.

Meeting & Calendar Coordination: Schedule and prepare for meetings (Outlook/Teams), including agendas, minutes, catering, room scheduling, and high-level board or committee events.

Visitor & Vendor Relations: Coordinate visitor/interview logs for receptionists, track Medical Director timesheets, and handle physician check distribution.
HR & Recruitment Support

Talent Acquisition: Review applications in iCIMS daily, screen candidates, and schedule interviews based on hiring manager criteria.

Onboarding & Orientation: Assist with New Hire Orientation prep, track required nursing competency packets, and create new hire badges.
Compliance, Education & Records Management

Training & Certification Tracking: Monitor employee education, cultural competency requirements, and skills completion; update Relias and coordinate external certificates.

Compliance & Records Safeguarding: Maintain secure, confidential, and compliant employee education files, hospital licensure binders, and staffing agreements.
Culture & Employee Engagement

Engagement & Recognition: Plan employee appreciation initiatives (birthdays, tenure, Hospital Week), create monthly culture postings, and participate in Employee Engagement meetings.
Qualifications & Requirements:
- High School Diploma or equivalent GED required; Bachelor’s degree in Business/Healthcare Administration or Human Resources preferred

Previous experience in HR/administrative role or equivalent preferred
