The Preventive Maintenance (PM) Coordinator is responsible for the development, maintenance, scheduling, and continuous improvement of preventive maintenance programs within the SAP CMMS. This role ensures that preventive maintenance (PM) activities are planned, scheduled, executed, and documented in compliance with site requirements, regulatory standards, and operational priorities. The PM Coordinator works cross-functionally with Operations, Reliability, and Subject Matter Experts (SMEs) to ensure work is executable, compliant, and optimized for asset reliability and performance. This role supports the Clear Lake site maintenance organization. The PM Coordinator plays a critical role in ensuring reliability, compliance, and effective execution of the maintenance work process.
Essential Duties & Responsibilities with % Breakdown:
Identify the major activities or responsibilities of the job (usually 4 to 6). Using a short phrase name or list each activity; estimate the percentage of time spent on each one. Then describe each activity in detail, and how it is done. Use increments of 10% and higher.
Preventive Maintenance Program Management [20%]
Create, update, and maintain preventive maintenance plans in SAP.
Utilize and maintain SAP PM structures, including:
Maintenance Items
Maintenance Plans
Functional Locations
Task Lists
Maintenance Packages
Bills of Material (BOMs)
Ensure PM job plans contain accurate scope, frequency, and resource requirements.
Planning & Scheduling Coordination [20%]
Review upcoming PM schedules and due dates to ensure alignment with operational availability.
Coordinate with Operations to confirm equipment access, readiness, and probability of execution compliance.
Identify risks to schedule adherence and proactively adjust plans to maintain compliance.
Regulatory Compliance & Deferral Management [10%]
Coordinate with SMEs to validate and adjust regulatory PM frequencies and due dates as needed.
Facilitate the PM Deferral Process, ensuring:
Proper risk assessment and documentation
Appropriate approvals
Compliance with site and regulatory requirements
Track and report deferral status and adherence.
CMMS Data & Technical Object Management [10%]
Maintain and update SAP master data, including:
Functional Locations
Equipment records
Technical object structures
Ensure data accuracy and consistency to support effective planning and execution.
Work Process Compliance & Closeout [10%]
Ensure PM work orders are properly closed out with complete and accurate documentation.
Verify completion details support compliance, historical tracking, and future analysis.
Performance Tracking & Reporting [10%]
Track, analyze, and report key maintenance performance metrics, including:
PM Compliance
Deferral Compliance
Provide regular reporting to leadership with insights and improvement recommendations.
Continuous Improvement & Reliability Support [10%]
Support PM rationalization and optimization initiatives to improve efficiency and effectiveness.
Partner with the Reliability Group to:
Define appropriate maintenance strategies
Align work scope with asset criticality and failure modes
Drive improvements aligned with best practices (e.g., SMRP principles).
Inventory & Spare Parts Support [10%]
Support spare parts and inventory rationalization efforts.
Ensure PM job plans are aligned with available and critical spare parts.
Minimum Qualifications and Education Required
Min Years of Experience
Required:
5 years of experience working with SAP or similar CMMS Software
Preferred:
5 years of experience in an industrial work setting
Education and area of focus

High school or GED equivalent

SMRP – Preventative Maintenance Optimization
Competencies -Knowledge Skills & Abilities (KSAs)
Required:
Strong working knowledge of SAP PM module (CMMS)
Experience with preventive maintenance planning and scheduling
Understanding of maintenance processes, asset management, and reliability principles
Preferred:
Experience in chemical, petrochemical, or industrial manufacturing environments
Familiarity with regulatory maintenance requirements
Knowledge of SMRP best practices or equivalent frameworks
