JOB TITLE: Front Office Receptionist

SUMMARY
The Front Office Receptionist serves as the first point of contact for patients and visitors. This role is responsible for delivering an exceptional patient experience through professional greeting, scheduling, registration, insurance verification, and accurate management of patient records and financial information.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet patients and visitors in person and by telephone in a professional and welcoming manner.
- Create a friendly and positive first impression by greeting patients promptly and courteously.
- Check patients in and track patient flow throughout the office.
- Schedule appointments in person and by telephone to optimize provider time and patient satisfaction.
- Answer patient inquiries and anticipate patient needs and concerns.
- Maintain patient records by obtaining, recording, and updating personal and financial information.
- Verify insurance eligibility and collect copays, deductibles, and other charges.
- Ensure accurate posting of patient payments and charges.
- Protect patient confidentiality and maintain HIPAA compliance at all times.
- Prepare and maintain patient charts and pre-appointment documentation.
- Manage inbound and outbound referrals and documentation in Management Plus and/or VersaSuite.
- Maintain medical records including filing, purging, release processing, and documentation logs.
- Ensure front desk and reception areas are clean, organized, and stocked.
- Ensure all superbills are complete, accounted for, and forwarded to billing daily.
- Perform administrative duties including e-fax management and document distribution.
- Follow all policies and procedures and report operational needs or issues.
SUPERVISORY RESPONSIBILITY
This position does not have supervisory responsibility.

- Strong organizational skills with attention to detail and accuracy
- Ability to multitask, prioritize, and manage a high-volume front desk environment
- Working knowledge of office procedures, scheduling, and patient intake workflows
- Basic to intermediate computer proficiency, including Microsoft Office and practice management systems
- Commitment to maintaining patient confidentiality and HIPAA compliance
- Dependable, punctual, and able to work collaboratively as part of a team
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent required
- Prior experience in a front office, reception, customer service, or healthcare administrative role preferred
- Experience in a medical, ophthalmology, optometry, or ambulatory surgery center setting a plus
- Familiarity with scheduling systems, insurance verification, and patient check-in/check-out processes preferred
