Stability Coordinator
Job Summary
ACT Labs is seeking a highly organized, detail-oriented Stability Coordinator to oversee all aspects of cosmetic product stability and compatibility testing. This position is responsible for coordinating stability studies from initiation through completion, ensuring testing is performed according to internal procedures, customer requirements, and applicable cosmetic industry regulations.
The Stability Coordinator will work closely with Regulatory Affairs, R&D, Quality Assurance, Manufacturing, and Customer Service to manage study timelines, monitor testing progress, prepare reports, maintain documentation, and communicate results. This role is essential in ensuring products meet quality, performance, and shelf-life expectations.
Essential Responsibilities
- Coordinate all cosmetic stability and compatibility studies from initiation through final approval.
- Schedule, organize, and maintain stability chambers and environmental testing conditions.
- Prepare and maintain stability samples according to approved protocols.
- Track study timelines and ensure required testing intervals are completed on schedule.
- Perform routine evaluations including, but not limited to:
- Appearance
- Color
- Odor
- pH
- Viscosity
- Specific Gravity
- Separation
- Fill Weight
- Coordinate compatibility testing
- Maintain accurate records of all stability and compatibility studies and document control
- Generate stability reports, summaries, and customer-ready documentation.
- Review stability data for trends, deviations, and out-of-specification results, escalating concerns to Regulatory Affairs and R&D.
- Communicate study status updates to internal teams and customers as needed.
- Ensure stability studies comply with:
- ISO 22716 Cosmetic GMP
- FDA Cosmetic Regulations (MoCRA)
- Customer-specific testing requirements
- Internal SOPs
- Assist with investigations involving failed stability or compatibility studies.
- Maintain organization and cleanliness of stability rooms, chambers, and retained sample inventory.
- Assist in developing and improving stability protocols, procedures, and documentation.
- Work with Regulatory Affairs to ensure appropriate stability data supports product launches and customer submissions.
- Perform additional duties as assigned.
Qualifications
Education
- Bachelor’s degree in Chemistry, Cosmetic Science, Biology, Pharmaceutical Sciences, or a related scientific discipline preferred.
- Equivalent industry experience may be considered.
Experience
- 1–5 years of experience in cosmetics, personal care, pharmaceuticals, contract manufacturing, or a laboratory environment preferred.
- Experience managing stability studies is highly desirable.
- Familiarity with cosmetic formulation or quality systems is a plus.
Knowledge & Skills
- Knowledge of cosmetic stability and compatibility testing.
- Understanding of cosmetic GMPs (ISO 22716).
- Familiarity with FDA cosmetic regulations and MoCRA.
- Strong organizational and project management skills.
- Excellent attention to detail.
- Ability to manage multiple studies and competing priorities simultaneously.
- Experience with Microsoft Office, especially Excel.
- Ability to analyze laboratory data and identify trends.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating with cross-functional teams.
Preferred Qualifications
- Experience in cosmetic contract manufacturing.
- Experience with retained sample management.
- Familiarity with preservative efficacy testing (PET), microbiological testing, and package compatibility.
Physical Requirements
- Ability to lift up to 30 pounds.
- Ability to stand, bend, and walk throughout the laboratory and warehouse.
- Ability to work in laboratory and manufacturing environments while following all safety procedures.
Pay: $20.25 - $30.41 per hour
