Position Overview: The Administrative Assistant/Receptionist provides a wide range of administrative support to our Client Service Assistants (CSAs), including preparing forms and reports, drafting correspondence, researching and resolving questions, maintaining client files and client contact information, and monitoring open tasks and projects. This person also serves as a primary point of contact for visitors and callers, representing the firm with professionalism, warmth, and a personal touch.
This is an entry level, in office position requiring a passion and motivation to acquire knowledge about products, procedures, regulations and policies in the financial services industry.
Key Responsibilities:
Clerical & Operational Support
- Perform general clerical and project tasks as assigned.
- Learn paperwork requirements and processing procedures.
- Follow internal office procedures and CRM documentation standards.
- Prioritize tasks per CSA/advisor expectations and timelines to ensure positive client experience.
- Develop foundational knowledge of account types, money types, and investment products.
- Support routine client inquiries under supervision; ensure accuracy and timely follow-through.
- Support compliance aligned procedures such as secure document disposal and adherence to retention protocols.
Scheduling & Meeting Coordination
- Assist with scheduling and rescheduling client meetings for Advisors as needed.
- Schedule client review appointments for multiple advisors.
- Monitor Advisor and Leadership Team calendars to proactively identify and resolve schedule conflicts or errors in partnership with CSAs.
Front Desk & Client Interaction
- Back up to Receptionist to answer, route, and manage all incoming calls according to the guidance provided in training
- Greet all visitors warmly; assist drop-in clients and connect them to the appropriate CSA or Advisor.
- Support a high-touch client experience with discretion, professionalism, and hospitality.
Industry Standard Additions‑Standard Additions
- Maintain confidentiality of all client information under FINRA/SEC and firm privacy expectations.
- Understand basic financial services terminology and be able to direct inquiries appropriately.
- Assist with preparation of client materials for meetings (e.g., assembling packets under CSA direction).
Qualifications:
Required

- Reliable with excellent organizational and time management skills.
- Strong attention to detail and accuracy, especially when handling multiple projects simultaneously.
- High School diploma or equivalent.
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel).
- Ability to work fully in office in a client facing environment.
Preferred
- Prior professional services administrative or front desk experience.
- Experience in financial services, professional services, or hospitality reception.
- Interest in or basic understanding of finance and investment concepts.
- Familiarity with CRM or scheduling systems.
