Duties
- Greet visitors warmly, manage check-in procedures, and direct them appropriately
- Answer multi-line phone systems promptly and courteously, practicing excellent phone etiquette
- Manage front desk operations including mail distribution, scheduling appointments, and maintaining visitor logs (note that this would be more of a secondary role when other staff are out of the office).
- Utilize Office management software and tools such as Microsoft Office, QuickBooks, and data entry systems to support daily administrative functions
- Perform clerical tasks such as filing, proofreading documents, data entry, and maintaining organized records
- Support calendar management and scheduling for attorneys to ensure efficient time management
- Assist with bookkeeping activities including basic invoicing and record keeping for financial transactions
- Transcribe legal documents or letters dictated by attorneys
Experience
- Proven office experience or administrative support background in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other applications
- Experience handling multi-line phone systems and providing excellent customer support over the phone or in person
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with attention to detail in filing, proofreading, and data entry tasks
- Previous experience as a legal receptionist or personal assistant is a plus but not required
- Familiarity with office management practices including calendar management, bookkeeping, and time management techniques
