We are seeking a dedicated and detail-oriented Medical Office Specialist to join our healthcare team. Responsibilities
- Manage patient scheduling, appointment confirmations, and clinic flow to optimize daily operations.
- Verify insurance coverage, process claims, and handle billing procedures using billing and insurances systems
- Review and update medical records accurately in Electronic Health Record (EHR) systems while maintaining strict adherence to HIPAA confidentiality policies.
- Assist patients with intake procedures, including collecting demographic information and explaining clinic policies.
- Perform insurance verification and explain coverage details related to Medicare, Medicaid, and other health plans.
- Utilize multi-line phone systems with professional phone etiquette to answer inquiries, schedule appointments, and provide excellent patient service.
- Support clinical staff by reviewing documentation for accuracy, coding medical procedures with CPT codes, ICD-9/10 codes, and ensuring proper medical billing practices.
- Maintain organized filing systems for medical records and ensure compliance with health information management standards.
- Use computer skills in Microsoft Office applications for documentation review and administrative reporting tasks.
- Demonstrate proficiency with EMR systems to ensure efficient electronic health records management.
- Provide front desk support including greeting patients, managing patient flow at the reception area, and handling office clerical tasks such as filing and data entry.
Experience
- Prior clinic or medical office experience is required; dental or hospital experience is highly valued.
- Strong knowledge of medical terminology, health insurance processes, and clinical confidentiality policies.
- Experience with EMR/EHR systems its essential.
- Familiarity with medical coding (ICD-10/ICD-9), CPT coding, and billing procedures related to Medicare and private insurance providers.
- Bilingual skills are preferred to effectively serve diverse patient populations.
- Demonstrated ability to handle multiple priorities efficiently in a fast-paced healthcare environment while maintaining excellent customer service standards.
- Proficiency in computer applications including Microsoft Office Suite (Word, Excel) and familiarity with office management software like Dentrix or Eaglesoft is advantageous.
