Job Summary

Duties
- Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating business travel arrangements.
- Handle internal communication efficiently through email, phone etiquette, and collaboration tools such as Microsoft Office, Google Workspace, and video conferencing software.
- Assist with organizing events, meetings, and conferences from planning stages through execution to ensure seamless experiences.
- Perform data entry, bookkeeping using QuickBooks, filing, and document management tasks with accuracy and attention to detail.
- Support office management activities such as front desk duties, multi-line phone systems operation, and maintaining office supplies inventory.
- Conduct transcription, proofreading, and writing tasks for reports or correspondence requiring high-quality business communication.
- Collaborate closely with C-suite executives and team members on project coordination efforts while maintaining confidentiality of sensitive information.
Experience
- Proven experience as a Personal Assistant or in an administrative support role within a professional office environment.
- Demonstrated ability in project coordination, event planning, and managing multiple priorities simultaneously.
- Proficiency in productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and calendar management tools like Microsoft Outlook Calendar.
- Familiarity with bookkeeping software such as QuickBooks and digital signature platforms like DocuSign.
- Strong organizational skills with the ability to handle clerical tasks such as filing, data entry, and managing office logistics efficiently.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Technical proficiency in video conferencing software (Zoom, Teams) and multi-line phone systems is highly desirable.
