Your Mission
As our Receptionist, you are the first and last impression our clients have of our firm. This critical role ensures our daily operations run smoothly while providing warm, top-tier service to everyone who walks through our doors or calls our office.
Core Responsibilities
- Maintaining complete confidentiality.
- Phone Reception: Manage multiple phone lines, direct inquiries, schedule consultations for multiple attorneys, and take detailed messages.
- Client Communication: Provide client case updates, send appointment reminders, and follow up with potential new client inquiries.
- Legal Intake Support: Gather necessary intake information to execute thorough, accurate legal conflict checks.
- Digital Correspondence: Oversee the main firm email inbox and respond promptly to website inquiries.
- Office Coordination: Maintain a clean, organized, and welcoming reception area, conference room, and break room.
- Administrative Support: Handle scanning, physical and digital filing, data entry, and special projects to optimize firm efficiency.
- Supply Management: Monitor office inventory and proactively order necessary supplies.
Qualifications & Skills
- Professionalism: Maintains a polished, professional demeanor and appearance appropriate for a law firm.
- Reliability: Exceptional punctuality, dependability, and personal accountability.
- Communication: Highly skilled verbal and written communicator with sharp proofreading abilities.
- Tech-Savvy: Proficient in Microsoft Office (Word, Outlook, Excel) with fast, accurate data entry skills.
- Execution: Detail-oriented critical thinker who can seamlessly manage time, meet deadlines, and multitask under pressure.
- Team Player: Possesses a friendly, outgoing personality with a collaborative, "can-do" attitude and a sense of humor.
- Experience: Legal environment experience is preferred but not required; we are fully prepared to train the right candidate who possesses these foundational skills.
Schedule & Environment
- Hours: Monday through Friday, 8:30 AM – 5:00 PM (includes a 30-minute unpaid lunch break).
- Location: This is a 100% fully in-office position. Remote or work-from-home options are not available.
Compensation & Benefits
- Pay: $20-$24 per hour commensurate with prior experience
- Benefits: Position eligible for standard firm benefits package upon eligibility (group health, dental and vision insurance; paid time off; and Simple IRA with employer match).
