Overview
We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and ensure seamless daily operations. Responsibilities
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide comprehensive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and handling confidential information with discretion.
- Organize and facilitate events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled smoothly.
- Handle internal communication efficiently by managing multi-line phone systems, practicing professional phone etiquette, and facilitating effective collaboration with C-suite executives.
- Oversee office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Assist with project coordination by tracking deadlines, preparing reports, and supporting project management initiatives to meet organizational goals.
- Coordinate business travel arrangements and prepare detailed itineraries to ensure smooth logistics for executives on the move.
Requirements
- Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
- Proficiency in productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with video conferencing software like Zoom or Microsoft Teams.
- Demonstrated ability to manage multiple priorities efficiently while maintaining attention to detail.
- Excellent written and verbal communication skills with a professional phone etiquette.
- Experience handling confidential information responsibly with integrity.
- Strong technical proficiency in office equipment, data entry systems, and bookkeeping software such as QuickBooks.
- Ability to work independently with minimal supervision while collaborating effectively within a team environment.
- Prior experience organizing events or managing complex schedules is highly desirable.
