The Role:
We are an independent boutique financial planning and wealth management firm seeking a Financial Services Assistant to support our team of Advisors in delivering an organized, thoughtful, and high-quality client experience.
In this role you will help gather and organize client information, prepare planning materials, support meeting preparation and follow-up, maintain accurate client records, and help Advisors stay on track with client service and planning needs.
You need to be comfortable interacting with clients and vendor partners in person, by email, and over the phone. You have strong attention to detail, excellent verbal and written communication skills, and a clear understanding of the importance of timelines, accuracy, documentation, and follow-through.
To be successful, you are someone that is dependable, proactive, comfortable taking ownership of details, and able to notice when something is missing without needing constant reminders.
This position may also provide backup support with phones, scheduling, and client paperwork across our Medicare book of business.
This is a full-time, in-person position.
Key Responsibilities:
- Support Advisors with planning preparation, client service needs, meeting follow-up, and ongoing workflows.
- Gather, organize, and maintain accurate client financial information and planning details.
- Accurately enter and update client data in financial planning software and CRM.
- Diligently track client requests, Advisor follow-up items, paperwork, deadlines, and next steps.
- Assist with client onboarding, account updates, beneficiary changes, transfers, service requests, and related paperwork.
- Coordinate with custodians, broker-dealer systems, investment platforms, and service teams as needed.
- Ensure required forms, documentation, and compliance-sensitive steps are completed accurately and in a timely manner.
- Communicate with clients by phone and email in a professional, warm, and service-oriented manner.
- Manage multiple tasks and priorities while maintaining accuracy and follow-through.
- Provide backup support for phones, scheduling, paperwork processing, and general office needs when necessary.
Ideal Experience:
- Working with financial planning concepts and supporting Advisors in retirement planning, investment accounts, insurance, estate planning basics, Social Security, and cash flow planning.
- Previously worked in an advisory firm, bank, or wealth management setting.
- Supporting Advisors with meeting preparation, client follow-up, and day-to-day service needs.
- CRM experience preferred; Redtail experience is a plus.
- Familiarity with LPL or a similar broker-dealer/custodial platform is helpful.
- Discretion and professionalism when handling confidential client information and financial documents.
- Strong attention to detail with the ability to manage multiple priorities and deadlines.
- Professional verbal and written communication skills.

Relevant Systems & Technical Experience:
- Exposure to financial planning software is preferred but not required.
- Proficiency in Microsoft Excel is required, with the ability to organize, review, and work accurately with client and planning-related data.
- Comfort with suite of Microsoft Office products, Adobe, e-signature tools, client portals, CRM workflows.
- Ability to learn and adapt to new systems, tools, workflows, and technology as firm needs evolve.
- Willingness to use AI tools appropriately to improve efficiency, organization, and workflow, while maintaining client confidentiality and compliance standards.
Pay: $70,000.00 - $85,000.00 per year
