Job Description
As an administrative assistant at our tax and accounting firm, you will play a vital role in ensuring the smooth operation of processing client deliverables and daily administrative tasks. Your responsibilities will include providing support to our team of tax professionals through scanning, filing and organizing tax documents, assisting clients with their inquiries, assembling tax returns and financial statements, and processing billing, deposits, and accounts payable.
A successful candidate will have experience working in an administrative role in a professional office setting, effective communication skills, experience with technology, ability to handle multiple tasks simultaneously, a friendly attitude and the ability to build relationships. They will also have the ability and desire to continually improve administrative skills, and be a contributor who is efficient, methodical and precise.
Responsibilities:
- Greet and assist clients with inquiries and document submissions
- Maintain polite and professional communications via phone, email and in-person
- Scan, organize and maintain physical and digital files, records and databases
- Processing of client deliverables (tax returns, financial statements, etc.)
- Various office administration tasks such as filing, mailing, and scanning
- Process billing, record daily deposits and monthly accounts payable
- Perform multiple tasks simultaneously with accuracy
- Ensure the confidentiality and security of sensitive client information
- Collaborate with CPAs to ensure efficient workflow and communication
Experience/Skills:
- Excellent written, oral, and interpersonal communication skills
- Positive attitude and willingness to learn
- Ability to prioritize tasks and meet deadlines
- Ability to learn and adapt to multiple software
- Must be organized, thorough and maintain consistent level of effort and accuracy
- Proficiency in MS Office 365 required. Experience in Practice CS a plus.
