The Administrative Coordinator provides senior-level administrative and operational support to the Senior Pastor and Director of Operations while serving as a key member of the administrative leadership team. This position oversees front office operations, executive scheduling, project coordination, communications, organizational workflow, and worship support to ensure the efficient operation of the church and its ministries.
Serving as a central point of communication for staff, ministry leaders, volunteers, vendors, and members, the Administrative Coordinator helps advance organizational priorities and ministry initiatives through exceptional organization, strong technical proficiency, sound judgment, professionalism, discretion, and a heart for serving others.
Senior Administrative Support
- Provide senior-level administrative support to the Senior Pastor and Director of Operations, including calendar management, meeting preparation, travel arrangements, expense reporting, and scheduling.
- Prepare agendas, correspondence, meeting materials, and presentations as requested.
- Coordinate weekly staff meetings, leadership meetings, congregational meetings, and budget hearings.
- Assist pastors, directors, senior leaders, and lay leadership with administrative support as assigned.
Project & Process Management Support
- Assist DOO in creating, tracking, and maintaining administrative and operational project boards using the organization's project management software (Monday.com).
- Monitor administrative project progress, deadlines, and action items to ensure timely completion.
- Assist the Director of Operations with organizational initiatives involving operational improvements, process development, and facility management.
- Support long-term planning by helping establish systems, tools, and workflows that improve organizational effectiveness.
Communications
- Collaborate with Graphic Designer and Social Media Assistant to ensure communication deliverables are completed accurately and on schedule.
- Schedule and publish approved digital communications, including website forms, email communication, and SMS messages.
- Ensure ministry communications align with worship schedules and organizational events.
Technology & Systems
- Demonstrate high proficiency in Microsoft PowerPoint, Microsoft Word, and Program Management software systems (Monday.com).
- Learn and effectively utilize new technologies that support operations, including project management software, online forms, Canva, YouTube, ClearStream, database and member management systems.
- Proactively identify and recommend technology solutions that enhance organizational efficiency.
Office Operations
- Coordinate the daily operations of the office and volunteer staff to ensure a smooth, welcoming, and efficient environment.
- Operate and maintain office technology including multifunction copiers, video conferencing equipment, digital kiosks, postage equipment, and related office systems.
- Manage incoming mail, phone calls, email correspondence, packages, and office communications.
- Maintain confidential files, records, and correspondence. Maintain office filing systems, records, forms, and administrative procedures.
- Maintain inventories of office supplies and coordinate purchasing within approved budgets.
- Identify opportunities to improve office procedures and operational efficiency.
Worship & Ministry Support
- Coordinate with Director of Worship and Graphic Artist to ensure printed and digital assets are complete, accurate, and published each week.
Education and Experience
- Three or more years of progressively responsible administrative or executive support experience.
- Experience in project coordination assistance or office management preferred.
Pay: $50,000.00 - $58,000.00 per year
