Revenue Cycle Management Leader — Dental / Multi-Site Operations

About the Role
Kare / VanTech Dental Partners is seeking a hands-on Revenue Cycle Management Leader to own and improve the financial performance of our dental revenue cycle across mobile, clinic, and partner-practice operations. This role is ideal for a detail-oriented RCM professional who understands dental billing, insurance claims, denials, payment posting, patient collections, and the daily discipline required to turn production into cash.
The right candidate will be comfortable working across multiple locations, systems, providers, and support teams. This is not just a back-office billing position. We need a leader who can monitor daily activity, identify revenue leakage, coach team members, improve workflows, and make sure claims, payments, denials, authorizations, patient balances, and outstanding AR are worked with urgency and accuracy.
Key Responsibilities
Lead day-to-day revenue cycle operations, including claims submission, payment posting, denial management, AR follow-up, patient collections, refunds, authorizations, and billing escalations.
Review daily and month-to-date production, collections, outstanding claims, call activity, payment posting, and schedule-related revenue opportunities.
Monitor clearinghouse activity, payer portals, rejected claims, denied claims, and requests for additional information to ensure issues are resolved quickly.
Build and maintain denial trend tracking to identify recurring claim issues and implement fixes that reduce preventable denials.
Work aging AR with a focus on cash acceleration, especially balances over 30, 60, and 90 days.
Support patient balance collections through compliant call, text, and payment-plan workflows.
Oversee insurance verification, pre-treatment estimates, prior authorizations, eligibility issues, and payer-specific billing requirements.
Train and support front-office, offshore, and billing team members on RCM workflows, documentation standards, claim submission, AR follow-up, and Dentrix/related system processes.
Create and maintain SOPs, checklists, and training guides that standardize RCM work across locations.
Prepare routine dashboards and leadership updates covering AR aging, collections, claim status, payment posting, denials, production-to-collection performance, and revenue leakage.
Assist with onboarding new practices or locations into Kare / VanTech billing workflows.
Audit billing accuracy during system transitions, including Dentrix Ascend, Curve Dental, or other PMS-related migration activity.
Partner with operations, finance, providers, office managers, and patient care coordinators to ensure treatment, documentation, billing, and collections processes are aligned.
Escalate payer, credentialing, documentation, or operational barriers that are preventing timely payment.
What Success Looks Like
Claims are submitted accurately and on time.
Denials and rejections are worked daily, not left to age.
Payment posting is current and reconciled.
AR over 90 days is actively reduced.
Leadership receives clear visibility into production, collections, claims, and cash-impacting issues.
Front-office and billing teams understand their role in protecting revenue.
Recurring billing errors are identified, corrected, and prevented.
Patient balances are followed up consistently and professionally.
RCM workflows are documented, trained, and repeatable across locations.
Required Qualifications
Experience in dental revenue cycle management, dental billing, or dental practice financial operations.
Strong understanding of insurance claims, EOBs, denials, appeals, payer portals, payment posting, patient balances, and AR follow-up.
Experience using dental practice management systems such as Dentrix Ascend, Dentrix, Curve Dental, or similar platforms.
Ability to read reports, identify trends, and communicate what needs to happen next.
Comfortable working with providers, office staff, remote team members, billing staff, and executive leadership.
Strong written and verbal communication skills.
High attention to detail and strong follow-through.
Ability to manage multiple locations, priorities, and deadlines.
Comfortable holding team members accountable to daily and weekly revenue cycle expectations.
Preferred Qualifications
Experience in multi-site dental, mobile dentistry, Medicaid, Medicare Advantage, commercial dental insurance, or public health dental programs.
Experience with payer portals, clearinghouse workflows, pre-authorizations, and treatment estimate processes.
Experience creating SOPs, training materials, dashboards, or RCM scorecards.
Experience supervising or coaching billing, front-office, or offshore support teams.
Familiarity with patient financing workflows and payment plan processes.
Ideal Candidate Profile
You are organized, direct, and numbers-driven. You understand that production only matters when it turns into collectible revenue. You know how to dig into a claim, read an EOB, identify why payment is delayed, and push the issue to resolution. You can train a front desk team, support a provider with documentation needs, and give leadership a clear update on what is happening with cash, claims, and AR.
You do not wait for problems to become old. You work them early, document them clearly, and build systems so the same problem does not repeat.
Work Location
This position may be based in either:
Columbus, Georgia
or
Louisville, Kentucky
Some travel between company locations may be required based on operational needs.
Compensation
Compensation will be based on experience, dental RCM background, leadership ability, and demonstrated ability to improve collections, reduce AR, and standardize billing workflows.
