Riverside Management & Financial Services, Inc. is hiring an Executive Assistant who will provide support to the Association’s management team and assist with day-to-day operation of the community. The Executive Assistant would serve as a professional point of contract for homeowners, vendors, contractors, and board members.
Key Responsibilities Include
· Provide general administrative and clerical support to the community management team.
· Answer phone calls, respond to emails, and assist homeowners and residents with questions and requests.
· Prepare, format, distribute, and maintain correspondence, notices, newsletters, forms, and other Association communications.
· Maintain accurate electronic and physical records, files, logs, and databases.
· Assist with processing homeowner requests, work orders, architectural applications, maintenance requests, and other Association-related documents.
· Coordinate with vendors and contractors regarding service requests, scheduling, access, invoices, and follow-up.
· Assist with Board of Directors and committee meetings by preparing agendas, meeting materials, sign-in sheets, packets, and minutes as needed.
· Track deadlines, follow-ups, inspections, homeowner requests, and outstanding items to ensure timely completion.
· Assist with violation and compliance documentation, including preparing notices, maintaining records, and tracking correspondence.
· Assist with processing invoices, purchase orders, receipts, and other financial or administrative documentation.
· Maintain calendars and assist with scheduling meetings, inspections, vendor appointments, and community events.
Ideal Candidate Qualities and Requirements
- Administrative, customer service, property management or community association experience are highly desirable.
- Experience HOA or community associations is preferable.
- Ability to multitask and prioritize tasks.
- Excellent verbal and written communication skills with an ability to adjust tone as necessary.
· Comfortability engaging with members while maintaining clear professional boundaries.
This position offers a competitive hourly rate between $28-$30, based on experience with an excellent benefit package, including health, vision, dental and 401(k) with employer matching.
