Job Overview
We are seeking a dynamic and detail-oriented Client Intake Specialist & Assistant Medical Records Clerk to join our legal team. In this vital role, you will serve as the first point of contact for prospective clients, ensuring a seamless and professional intake process. Duties
- Manage approximately 600 inbound client calls per month (English and Spanish speaking callers)
- Conduct medical malpractice, personal injury and motor vehicle collision intakes and sign ups
- Contribute to signing up new cases each month by being the client liaison and following up with the PNC and attorneys
- Provide after-hour intake support as necessary to complete case sign-ups
- Provide client updates through initial sign up process and assist with treatment coordination
- Create and maintain weekly, monthly and annual intake and lead reports
- Use Excel to analyze case conversion and intake performance
- Track lead sources, conversation rates and intake performance metrics
- Maintain the medical records portal to make sure all requests have gone out properly
- Save medical records once received in the portal
- Work with the prelitigation and litigation department with client contact
Qualifications
- Exceptional organizational abilities to manage multiple tasks simultaneously
- Excellent writing skills for drafting correspondence and legal documents; keen proofreading abilities ensure accuracy in all communications
- Proficiency in data entry, document management systems, filing procedures, and clerical tasks with attention to detail
- Ability to handle sensitive information discreetly while maintaining confidentiality at all times
- Strong interpersonal skills with a professional demeanor suited for engaging with diverse clients and team members
- A bilingual candidate is highly preferred
- Some college education is strongly preferred
