Executive Assistant / Operations Coordinator
About the Role
We're a fast-growing live-selling and e-commerce company based in Melbourne, FL, and we're looking for a sharp, highly organized Executive Assistant / Operations Coordinator to become the owner's right hand.
This is a high-impact role for someone who loves structure, thrives in a fast-paced environment, and wants to be the person who keeps everything running. You'll take the day-to-day operational load off the owner's plate so he can focus on growth — and in return, you'll get real ownership, variety, and a front-row seat to a business that's scaling fast.
We're also launching New Heat, our new fitness and outdoor adventure brand — and it's set to become a major growing part of what we do. This role grows with it. As New Heat expands, you'll be right in the middle of it, helping build something from the ground up rather than just maintaining what already exists.
You do not need years of corporate experience. We're not a law firm or a giant corporation. We need someone dependable, organized, and ready to learn our systems and run with them.
What You'll Do
- Build and manage weekly staff schedules
- Handle employee call-outs and coordinate replacements quickly
- Run payroll and verify employee hours for accuracy
- Coordinate day-to-day warehouse logistics (our team is self-sufficient — this is coordination, not micromanaging)
- Handle any travel, hotels, and assorted logistics
- Act as the central communication hub, filtering non-urgent items so only true priorities reach the owner
- Provide light personal/administrative support to keep business and life running smoothly
- Assist with projects for our growing fitness and outdoor adventure brand
- Play an active, hands-on role in building and growing New Heat, our fitness and outdoor adventure brand
What We're Looking For
- Highly organized and detail-oriented — you genuinely enjoy staying on top of things
- Calm and adaptable under a variable, sometimes fast-paced workload
- A self-starter who doesn't need hand-holding once trained
- Strong, clear, and reliable communicator
- Comfortable juggling operational, administrative, and personal tasks
- Reliable transportation for hybrid in-person days at our Melbourne warehouse
- A real passion for fitness, the outdoors, and active lifestyles — New Heat is a growing focus for us, and we want someone who genuinely connects with that world and wants to help shape it
