Intellectual property boutique law firm seeks a full-time Law Office IT Systems & Docketing Coordinator to support the firm’s internal technology systems, law office software, docketing and file management workflows, and staff training. The role requires a technically comfortable, detail-oriented person who can learn and support multiple internal programs, assist users, coordinate with outside IT vendors, and also handle related administrative, docketing, filing, and basic office operations tasks.
Position Responsibilities:
- Create new digital case files and corresponding docketing records in the firm’s law office software.
- Serve as an internal resource for the firm’s software programs and systems, including user setup, staff training, workflow customization, troubleshooting, and the creation or updating of training tutorials and written procedures.
- Supervision and administration of the firm’s automated digital filing system to ensure legal documents are accurately filed in case-management folders; manually file missed documents and maintain related paper files and inventory records.
- Maintain existing physical and digital case files, including paper filing, scanning, file organization, and updates to related docketing records.
- Serves as the primary point of contact for resolving onsite technical issues, collaborating with external IT vendors, and implementing IT solutions.
- Posting of blogs, news items and updates on firm website and social media.
- "Runner" errands for delivery and pick-up to courts, consulates, post office for daily mail, supply stores, etc.
- Onsite physical storage, document scanning, and miscellaneous organizational tasks.
- Assist with basic office operations and facilities-related tasks as needed, including coordination of supplies, onsite organization, storage, and vendor or service issues.
Education
- High School Diploma or equivalent.
- College degree in Computer Science is a plus.
Experience
- 1-2 years of experience handling general administrative work is required.
- 1-2 years of experience with basic IT support, software support, or systems administration preferred.
- Prior law firm or legal software experience is a plus but not required.
Knowledge and Skills
- Valid driver's license with clear record and "safe driver" skills
- Basic knowledge of Microsoft Office Suite including Outlook, Word, and Excel
- Basic knowledge of computer set-up, computer applications, legal practice management programs, and online platforms
- Ability to learn new software systems quickly and train others in their use.
- Comfortable troubleshooting basic technology issues and communicating with outside IT vendors.
- Organizational skills and detail-oriented to handle a high volume of documentation and information in an efficient manner.
- Good verbal and written communication skills.
- Ability to work under general supervision.
- Ability to lift up to 30 lbs, bend, stretch, climb up a ladder to file documentation from top of cabinets to bottom, with reasonable accommodation
