Front Desk & Insurance Coordinator — Leadership Track — Smiley Dental (Rockville, MD)

About Us
Smiley Dental is a fee-for-service practice in Rockville — "Dentistry with intention." Today, most of our patients come to us for family and general dentistry, and we're not a high-volume, insurance-driven office. We're also intentionally building toward a more cosmetic and esthetic-focused practice over time, so you'll see that shift happening in real time. Either way, we treat patients well and invest heavily in continuing education. Our team needs to match that standard — sharp, warm, and unflappable, even when the day gets busy.
The Role
We're hiring for a part-time role (Wednesday, Friday, Saturday) that starts as Insurance Coordinator with front desk responsibilities, with real room to grow into a lead coordinator / leadership role — and potentially into full-time hours — as you prove yourself and the practice grows. You'll own the financial side of the patient experience — benefit breakdowns, claims, out-of-network reimbursement — while also supporting front desk operations. Over time, this can expand into training new team members, owning how our insurance and front-desk processes run, and being a go-to person on the team, for the right person.
We're open to two kinds of candidates:
- Experienced: you've done dental insurance coordination, billing, or office management before, and you want a practice where that experience is valued and there's a real path forward.
- Driven and coachable: you may not have direct dental experience, but you're genuinely motivated to learn a real skill set — not just clock in and out — and you can show us evidence of that in how you've approached past roles.
We're honest that we're prioritizing the first group, but we don't want to lose a great hire over a resume gap if the drive is real.
What You'll Own
- Verify insurance benefits and prepare clear, accurate breakdowns for patients before treatment
- Submit claims, track outstanding reimbursements, and follow up on unpaid or underpaid claims
- Handle pre-authorizations and narratives for complex or cosmetic-adjacent procedures
- Present treatment plans and financial options to patients with clarity and warmth
- Manage patient accounts, payment plans, and third-party financing (e.g., CareCredit)
- Support front desk operations — scheduling, check-in/check-out, phones — especially during busy stretches
- Follow up with patients on unscheduled or incomplete treatment to keep production moving
- As you grow into the role: help train new front desk/insurance team members and take ownership over how our insurance and front-desk processes run
What We're Looking For
If you have experience:
- 2+ years of dental insurance coordination or billing experience
- Working knowledge of PPO fee schedules, CDT codes, and claims/EOB processes
- Comfortable having direct financial conversations with patients — confident, not pushy
If you're earlier in your career but driven:
- A track record — even outside dentistry — of taking on more than you were asked to, and following through
- Comfortable with numbers, organized systems, and direct conversations with people
- Genuinely interested in building a career here, not just filling time between other plans
Either way:
- Genuinely good with people — you read a room and make people feel taken care of
- Organized and unbothered by a busy day
- Team-first — willing to jump in wherever the day needs you
- Dental software experience (Dentrix, Eaglesoft, Open Dental, or similar) a plus, not required
