Account Manager Position Summary
The Account Manager supports Exhibitus' Sales Team by managing and developing both existing and new client accounts. This role serves as a key liaison between clients and internal teams, ensuring projects are delivered on time, within budget, and to the highest standards of quality and client satisfaction. Account Managers analyze client needs, coordinate project execution, and provide strategic solutions that support business objectives while delivering exceptional event and exhibit experiences.
- Serve as a primary point of contact for clients, maintaining strong relationships and ensuring a high level of customer satisfaction.
- Support sales efforts through client communication, project estimating, and proposal development.
- Coordinate client-related project communications and provide timely updates throughout the project lifecycle.
- Collaborate with Sales and Design teams to ensure project execution aligns with the client's vision, objectives, and expectations.
- Proactively identify and resolve client concerns and project-related issues.
- Act as the field execution expert, maintaining ownership of client properties and overseeing on-site experiences to ensure successful project delivery.
- Partner closely with Project Managers as part of the Project Team to manage all aspects of production from initial planning through final execution.
- Travel to trade shows, events, and client locations as needed to support project and client requirements.
- Oversee field services and on-site execution while managing project budgets and communicating budget variances proactively to the appropriate stakeholders.
- Estimate, coordinate, and manage show services, including but not limited to:
- Transportation and logistics
- Material handling
- Installation and dismantle (I&D)
- Electrical, internet, air, and water services
- Catering and porter services
- Fire watch and security
- Lighting, audiovisual, and rigging services
- Forklift, boom lift, and scissor lift rentals
- Cleaning services
- Lead retrieval systems
- Carpet, floral, and photography services
- Off-site event services and other venue-related requirements
- Develop and present show service proposals to clients.
- Order and coordinate show services within established project timelines.
- Coordinate show service plans with CAD teams for facility and general contractor submissions.
- Adhere to internal project workflows and best practices to support efficient project execution.
- Communicate proactively with internal teams and external partners throughout all project phases.
- Obtain and distribute Certificates of Insurance (COIs), Exhibitor Appointed Contractor (EAC) forms, and other required documentation.
- Collect and manage client-provided graphic files according to project schedules.
- Produce shipping documentation and coordinate transportation logistics.
- Assemble and distribute show summaries, supervisor packets, and project documentation as required.
- Distribute work orders and coordinate staff assignments.
- Communicate daily with production teams regarding project updates, changes, and requirements.
- Manage client products, giveaways, and exhibit assets while in transit, storage, or on-site.
- Reserve, track, ship, receive, and return client properties, ensuring accurate inventory records and future availability.
- Coordinate inventory management activities with Project Managers and the Logistics Department.
- Create and process purchase orders.
- Submit invoicing requests and support project billing activities.
- Complete project reconciliations and final invoicing.
- Enter time accurately and promptly into EMS.
- Prepare and submit expense reports promptly.
- Support project closeout activities and final job documentation.
- Foster strong working relationships across Sales, Design, Production, Logistics, and Operations teams.
- Assist with onboarding, training, and mentoring new team members as needed.
- Perform additional duties and special projects as assigned by the Account Executive or Director of Client Services.
